We are a well-established boutique private psychology practice located in the heart of Brunswick. We are looking for a vibrant, caring and mature-minded person to join our administration team.


We are looking for a person to work on a casual basis with a minimum of 15-20 hours a week.

The practice opening hours are between 9-6pm Mon-Thurs, 9-6pm Friday, and Saturdays as required.

Key Responsibilities and duties include:


  • Meet and greet patients with exceptional customer service and delivery of quality, warmth and compassionate service to health professionals and clients
  • Manage psychologists' schedules with diary and patient management across multiple locations
  • Manage client appointments for consultation and referrals
  • Client invoicing and billing via Halaxy practice management software system
  • Other tasks and responsibilities required by our specialists
  • Promotional work (as required) to businesses locally
  • Liaising with clients, internal and external health professionals.
  • Ability to provide administrative support to the Clinical Team Leader and Managing Directors as required
  • General office support which may include a variety of tasks including database creation and management, document preparation, research and writing tasks, data reporting, digital marketing, updating websites etc

Key Selection Criteria

Essential Skills

  • Exceptional time management and organisational skills
  • Exceptional communication skills (both written and verbal)
  • The ability to provide outstanding customer service with professionalism and empathy
  • Be able to work autonomously and within a small team
  • Excellent attention to detail, ability to multitask and willingness to learn
  • Strong data entry skills
  • Strong computer skills particularly using Windows/Microsoft, Excel, Google suite

Highly Desirable Skills

  • Knowledge of mental health terminology (desirable)
  • Prior experience with practice management software with Halaxy highly regarded
  • Previous experience working with Medicare and health funds billings
  • Flexibility to work at peripheral sites if required
  • Experience in digital marketing, and website updates
