About the Role

We are looking for an experienced, highly efficient Executive Assistant to work closely with our Chief Legal Officer (CLO) and the Company Secretariat team in Pyrmont, Sydney.

The function of the role is multifaceted in an environment that is dynamic, fast paced and held to external standards of compliance with regulatory and legislative requirements.

Reporting to the CLO and engaging with our Board of Directors, there is strong emphasis on confidentiality and service delivery aligned with corporate standards.

The role is responsible for all systems and administrative support as expected for a high paced Executive with direct reports across the legal and company secretariat teams, including:

  • Ensuring CLO is well briefed ahead of meetings and relevant sessions including weekly ExCo and team meetings
  • Assisting with the needs of directors including the Chair
  • Providing dedicated support to the CLO and the Company Secretariat including coordination of the corporate calendar, scheduling and catering for all meetings and the meeting planners
  • Managing conflicts and competing priorities on a day to day basis as the need arises
  • Assisting with coordination of AGM and special meetings
  • Prioritising matters and meetings, scheduling, diary management, travel arrangements and day to day admin support
  • Finessing presentation materials on behalf of CLO and assisting with Board Books and Diligent

About You
You are a seasoned Executive Assistant, experienced in supporting C-suite leaders and directors through transformational and/or reactive periods.

With the role comes the expectation of travel to other sites and understanding that at times commitment beyond the typical workday will be required.

In addition to your flexibility, you are also able to think independently, anticipating and prioritising on behalf of your leader.

Above all, you are approachable with a service excellence mindset echoing the sentiment of our culture.

To be successful in this role you will have

  • Tertiary qualifications and / or at least 10 years relevant experience
  • Expert skills in Microsoft Office programmes, OneNote, MS Teams and Diligent / Board Books
  • Exposure in report coordination & preparation, project managing, board and committee meeting preparation & meeting materials, including Diligent Board books
  • Demonstrated ability to prioritise, organise, decision making and time management skills
