The Department of Government Services (DGS) was established on 1 January 2023 to bring important day-to-day services together in one department to make it easy and seamless for Victorians and businesses to interact with government.

We're working to connect and digitise our systems and platforms across state and local government as well as streamlining our corporate and procurement services.

The Shared Service Provider (SSP) delivers property, car pool and library services to clients across the Victorian Government, including all Victorian Government departments and a range of agencies.

SSP strives to be a shared service provider of choice, achieving value for the Victorian Public Sector by delivering strategic, client focused services.

The team is committed to offering their shared services expertise and public sector knowledge to deliver strategic, efficient, relevant and effective shared services that give SSP clients confidence to focus on their core business.

About the role
This is an exciting ongoing opportunity for someone who thrives in a fast-paced and ever-changing environment. Your ability to be extremely organised whilst being flexible and adaptable will be critical in the role. The role will require you to have strong communication, exceptional attention to detail and the ability to problem solve. Reporting to the Executive Assistant, as the Executive Support Officer, you will be responsible for:

  • providing high level support ensuring the SSP executive office runs professionally and efficiently
- co-ordinate the scheduling of Director's diaries in relation to events and meetings
- manage administrative processes for the group and provide support for stakeholder meetings
- coordinate, proof-read and edit papers, memorandums, and general correspondence for senior management in a professional, timely and accurate manner
- monitor and maintain the office environment in regard to stationary supplies, records, purchasing and reimbursements.
- ad-hoc administration tasks for the Executive Leadership Team and Executive Assistant

Note:

Due to Machinery of Government changes, effective 1 January 2023, your employment will be with the Department of Government Services.

Corporate Services, including payroll, will be provided by the Department of Treasury and Finance while a process for the formal transfer of staff in impacted areas is implemented.

Additional information The Department is committed to providing and maintaining a working environment which is safe and without risk to the health of its employees and clients and consistent with the department's obligations under the Occupational Health and Safety Act 2004 (OH&S Act), to support this DGS requires all DGS employees be fully vaccinated against COVID-19 in order to undertake duties outside of their homes (unless an exception applies).

To be able to meet the COVID-19 Mandatory Vaccination requirements and for the Department to meet its obligations under the OH&S Act, the department will request employees provide their vaccination information (including 3rd dose / booster) or evidence of an exemption throughout the recruitment process.
