Key role of this position
***This position coordinates all aspects of document control for the projects to ensure that all project team members and stakeholders have appropriate access to controlled project documentation. This position also contributes to the development of project specific document control processes, provides advice on document control practices to all stakeholders and supports the administration of document control systems, including system audits.

Core duties and responsibilities
***
Document Control

  • Provides support and advice to project managers and project team members on document control issues and coordinates the management of all project and contract documentation and data.
  • Promotes the efficient use of the document control tools.
  • Coordinates and expedites all drawings and other documents through review processes and timely
- responses.

  • Coordinates and expedites notices including 'Request for Information' and 'Technical Query' processes.
  • Provides training to project team members in the use of the document control systems.
  • Formats documents for approval and publication.
  • Compiles and maintains the document register within the Public Transport Authority's (PTA) Project
  • Document Management and Collaboration system.

Administration

  • Liaises with stakeholders regarding the handover of project documentation.
  • Facilitates training for clients and stakeholders in document control processes.
  • Develops good working relationships with other internal business units and staff in regard to records management and tracking of documents.
  • Undertakes other duties as required.

Essential Work-Related Requirements

Job Specific

  • Substantial experience performing the role of Document Controller or Lead Document Controller on major projects.
  • Substantial experience in the use of industry standard, cloudbased project document management and collaboration systems (e.g. Aconex, TeamBinder, Insite) used for the storage, transmission and management of all project communications, documentation and drawings.
  • Substantial experience on major infrastructure projects, preferably transport related.

  • Highly developed written, verbal and interpersonal skills, including the ability to effectively develop good working relationships with internal and external customers.

  • Well developed skills in analysing and resolving userbased problems and issues.

  • Highly developed organisational skills, including the ability to achieve targets and timelines through effective teamwork.

Computer Literacy

  • Advanced level user of cloud based Project Document Management and Collaboration systems.
  • Experience in the use of Electronic Document Management Systems (e.g. Objective).
  • Competent Microsoft Office user (Word, Excel, Outlook).
