Responsibilities and Requirements:
  • Understand the priorities of the Head of Technology and prioritise workload, agree priorities with the Director of Technology Business Management and manage expectations accordingly.
  • Provide the Head of Technology with diary management, including;
  • Scheduling and coordinating meetings, and responding to meeting requests including delegating meetings to other teams to ensure the most efficient use of time;
  • Assist to manage expense and credit card transaction processing.
  • Assist with managing and processing financial transactions for the Technology team including invoice coding, processing and procurement requests.
  • Support meetings by facilitating the agenda, collating and distributing material, taking minutes etc.
  • Assisting to assign, track, monitor and close out various actions and tasks on behalf of the Technology leadership team and across the broader Technology team and organisation (TLT Kanban board).
  • Assist with planning, coordination and management of Technology team events and meetings including catering and preparation of materials.
  • Ensuring that Technology team members complete compliance training obligations.
  • Assisting with the onboarding, induction and seating allocation for new starters.
  • Assisting with preparing and disseminating communications from the HoT's office to the Technology team, wider Agency and external stakeholders
  • Assisting with collating and publishing content to the Agency intranet site, Confluence and Teams Channels
  • Creating and upkeeping key IT governance and operating model artefacts, including organisational charts, functional models, IT policies, communication plans, distribution lists and any other artefacts
  • Assisting with research, filing and document management & providing assistance across the broader TBM team as/when required.
  • Managing relationships with external research providers to ensure adequate access to research for all employees as required and supporting team members involved in negotiations on subscription renewals.
  • Prepare Technology performance reconciliation, analysis and reporting, including both project and operational performance.
  • Manage the receipt of data from the Technology team and other areas of the Agency and prepare reporting, especially the Technology update for the Senior Leadership Team ("SLT") and Boardlevel papers as required.
  • Technology document production (eg, Technology Town Hall) including preparation and formatting, ensuring consistency within the organisational branding framework
  • Work closely with the Agency Travel Team, provide oversight and support of the travel arrangements for the TLT, including:
  • Arranging domestic and international travel and accommodation, having regard to most suitable cost-effective travel arrangements; and
  • Ensuring appropriate documentation is organised for travellers, such as itineraries, etickets, maps, currency, contact information, meeting agendas and visas.
