The Opportunity:

This is a
permanent full-time opportunity joining the Corporate Services team.

It is a multifaceted and unique position that encompasses two primary functions:
(1) Building and facilities management including liaising with the property manager, tenants, suppliers and contractors, and (2) Information technology management including overseeing UA's contract with their outsourced IT provider. You will be the key contact person at UA managing the head agreements for their facilities, IT support and several of the corporate functions.

The Role:


  • As the Business Services Manager, you will have several key areas of focus._

Building and facilities management

  • Manage the building on behalf of Australian Higher Education Association (AHEA), the property holding company
  • Prepare papers and minutes for the AHEA Board meetings
  • Available 24/7 for security/fire callouts and tradesmen access out of hours (very limited approximately 68 times annually)
  • Manage contract with property management company
  • Manage all lease and licence agreement negotiations with current and potential tenants
  • Manage tenancies/vacant office spaces
  • Manage contract with building cleaning company
  • Plan for building maintenance and improvement
  • Oversight of all UA and other tenant refurbishments
  • Manage building maintenance schedule in coordination with property management company

Information, communications, and technology management

  • Manage the contract and work assigned to UA's managed service provider (N-Able IT)
  • Manage the contracts and maintain phone systems (Telstra and MNF Teams Calling)
  • Manage the contract for printers (Konica Minolta) to ensure continuous service for staff
  • Ensure that AV, video and teleconferencing equipment and systems are fully operational, and staff are trained in their use (Zoom and Teams)
  • Manage the ICT budget for operational and capital expenditure
  • Provide administrative functions for the board portal (Convene) and ensure the appropriate staff members are adequately trained

Business administration

  • Key contact for the Qantas Agreement and Executive Travel Management
  • Manage the creation and review of UA's policies and procedures

Risk management

  • Update risk register as required
  • Oversight of business continuity plan
  • Manage internal control framework including management of delegations register and approval authorities
  • Member of UniMutual Business Continuity Planning Special Interest Group
  • Facilitation of any legal requirements (not related to human resources issues)

Work, health and safety

  • Undertake the role of Chief Warden for the building, including training of all building wardens
  • Management of first aid officer's register and training requirements
  • Manage work, health and safety issues for UA staff and the building
  • Ensure compliance with relevant legislation

The Ideal Person:


What is most important is that you're comfortable with a diverse and hands-on role where you're juggling multiple priorities at once.

You will also have the following key capabilities:

  • Experience managing operational contracts with service providers
  • Excellent relationship management and negotiation skills including with both internal and external stakeholders
  • Basic IT knowledge in order to manage the relationship with the outsourced IT provider e.g. ability to troubleshoot small IT problems, make decisions about when IT resources need to be updated, etc.
  • Strong problemsolving skills with the ability to assess an organisation's current situation and resources, examine options for improvement, make recommendations and manage the implementation of the best solution
  • An eye for detail and accuracy with the ability to pick up on important aspects within contracts

Salary / Rate:

- **$110k - $120k + 17% sup
