About this role
As the Business Operations Administrator, you will be responsible for the delivery of a wide range of generalist operational business support and administrative office services and activities, ensuring a high level of customer service and capturing information to meet business and legislative requirements.
Field Operation:
- In accordance with defined processes and work instructions, support the area in delivery of projects and planned work by undertaking administrative tasks including issuing of drawings, printing drawings, management of asconstructed drawings.
- Perform document and file management for section, including but not limited to scanning and archiving.
- Create electronic work packs where necessary.
- Use of relevant Western Power systems, as required to perform the role.
- Process Ariba financial & requisitioning transactions.
- Order permits and reports to enable work to be completed by the area as required e
g:
dial before you dig.
- Finalise work order completion including scanning of documents, slippage codes etc
- Run/produce standard business reports.
- Maintain asset register registration, update, and record inspection due dates.
- Maintain suitable levels of stationery, IT equipment etc, and ordering of PPE & PPC, as required
- Assist and support the implementation of continuous improvement initiatives
Engineering and Design:
- In accordance with defined processes and work instructions, support the Function in delivery of projects by undertaking document and drawing control administrative tasks including issuing of drawings, printing drawings, management of asconstructed drawings, scanning and archiving.
- Develop and maintain effective relationships with internal and external customers and stakeholders to support the successful delivery of projects
- Assist and support the implementation of continuous improvement initiatives
Customer Service:
- Support the Function in delivery of projects by undertaking general and confidential administrative tasks by maintaining the accuracy of filing systems, including data entry in Ellipse and Salesforce, and appropriate archiving
- Provides financial administrative support through raising customer invoices, purchase requisitions, payments of invoices in Ellipse etc. while ensuring relevant cost codes are utilised
- Develop and maintain effective relationships with internal and external customers and stakeholders to support the successful management of customer contracts and projects from both a financial and administrative perspective
- Maintain suitable levels of stationery, IT equipment etc. and ordering of PPE & PPC, as required
- Assist and support the implementation of continuous improvement initiatives
Network Operations:
- Escalation support monitor TCS fault screens, provide information to fault coordinator, dispatch & close off fault jobs.
- Maintain asset register registration, update, and record inspection due dates.
- Provide fieldbased systems support e.g. DQM, DMS, and Ellipse.
- Perform document and file management for section.
- Run/produce standard business reports.
- Assist with statutory reporting (ESEN, EMT & Incident notification) when required
- Statutory reporting record keeping for the Area (ESEN, EMT & Incident notification)
- Assistance with liaison and information gathering for emergency services
- Coordinate and maintain central database of employee activity including training schedules, Competency's etc.
- Computer literate: sound knowledge of DM, TCS, PoF (Power on Fusion), GeoView and MagnaView
About you
We are seeking someone with experience and attributes that include:
- Completed Year 12 (or equivalent) with English and Mathematics and / or at least 3 year's demonstrated general administration experience
- At least 2 to 3 years demonstrated experience in provided administrative office and or operational support services with knowledge of principles and practices of basic office management
- Experience of Microsoft Word, Excel, and PowerPoint software
- Understanding of administrative functions and office practices
- Able to deliver high quality, professional, customer focused administrative services
- Good written and verbal communication skills
- Ability to maintain a high level of accuracy and confidentiality
