About the business and the role

  • General administration support services for the clinic.
  • Telephone communications assistance to patients awaiting appointments.
  • Clerical duties and medical typing as appropriate.
  • Work efficiently within a team consisting of other medical receptionists, doctors and liaising with hospital staff on a daily basis.

Job tasks and responsibilities

Smooth running of reception and patient bookings achieved
To make patient bookings and alterations to bookings as required the service priorities as they arise.


Specific tasks include:


  • Answering the phone and/or responding to phone messages promptly;
  • Meet and greet patients as they arrive, advising of wait times and acquisition of patient information;
  • Reception area runs smoothly at all times.
  • Maintaining an uptodate and accurate patient appointment record;
  • Obtain patient blood tests results; and accurate recording of patient details.

Medicare/patient billing requirements

  • Our private clinic requires someone to be experienced in the medical software called Gentu. Gentu is the leading medical specialist software in Australia. It integrates all aspects of your appointments, billing and clinical management.
  • It allows you to send claims for services provided in hospital directly to health funds and Medicare in one easy transaction.
  • The billing of all patients (ie private outpatients, private inpatients with health fund insurance, HiCAPS, DVA patients and Medicare bulk billing etc).
  • Maintaining all records of financial transactions involving downloading claims to the HIC, receipting of health fund and DVA payments and remittance checking.
  • Appropriate, accurate and timely billing of patients maintained.
  • Appropriate Medicare and patient billing and followup of outstanding accounts.
  • Financial transaction records maintained.

Skills and experience

  • Ensuring patient confidentiality at all times;
  • Appropriate incident reporting; and maintaining annual CPR skills.
  • Good communication with other reception staff to ensure operational continuity of the reception area.
  • Workplace health and safety issues addressed.
  • Medical typing and filing duties.
  • Ensuring a good working order of telephones, fax/photocopier machine, computers and printers.
  • Attending to mailing needs including typing labels and envelops.
  • Harmonious working relationship with both inhouse staff and all external contacts including ward staff, referring doctors, patients and their families.
  • Onsite training would be provided to those who are enthusiased to join our small private practice.
