Easy Authoring is seeking a high-performing Executive Assistant to join a high-profile government project


Purpose of the role:


The primary focus of the position is to support the functions of the Office of the CEO and work closely with the Executive support team to ensure the office runs efficiently.


Key Accountabilities:


  • You will act as a mentor for other Executive Assistants and Executive Support Officers across the Institute.
  • Manage and maintain office systems relevant to the Executive's office and identify areas where improvements can be made.
  • Assist with coordinating division workflow and providing administrative support across the division, acting as the first point of contact for internal and external stakeholders and other Government officials.
  • Plan, coordinate, and provide highlevel secretariat support to committees and meetings including preparing agendas and papers; taking minutes and following up on action items; collating reports and papers for presentation by the Executive, and liaison with senior stakeholders.
  • Assist with drafting correspondence, reports, and briefs, including the assembly of supporting documentation, whilst maintaining and ensuring appropriate confidentiality of sensitive information.
  • Maintain file records and support the team with document management systems (HP TRIM and other programs as required) and controls.
  • Contribute as part of the wider support team to undertake office management and administrative duties and other Executive support duties as required and appropriate at this level.

Desirable criteria:


  • Experience in an Executive Office and/or in the Australian or ACT Public Service is highly desirable.
  • Experience in the use of HP TRIM and Microsoft SharePoint is desirable.

Essential criteria:


  • Demonstrated highlevel administrative, organisational, and coordination skills, focusing on the ability to plan, coordinate and prioritise work activities to meet deadlines.
  • Demonstrated sound judgment, and ability to work independently and collaboratively with a range of diverse stakeholders, including other administration and Executive support staff. The occupant of this position is required to be proactive, adaptable, and remain calm under pressure.
  • Demonstrated personal drive and integrity and the ability to consistently display highquality customer service principles, practices, and attributes, including the ability to manage sensitive and confidential issues with integrity within a highpressure office environment.
  • Ability to adapt to changing circumstances and successfully manage multiple priorities and demands, in a dynamic, complex, and diverse environment.
