Job Purpose
The Contract & Finance Administrator supports the core functions and processes of the Procurement team.

This role includes making purchase orders and stock transfer orders, updating records, and responding to order and invoice query issues.


Responsibilities

  • Assist and support team in daily activities, including but not limited to Purchase Requisition and Order management and expediting for both material and services.
  • Contribute to meeting all operational KPI's in Safety, Quality, Cost and Delivery performance
  • Identify and report cost saving initiatives and implementation.
  • Support the management of nonconforming products, returns & credit notes and pending invoices
  • Attend meetings with suppliers, customers and internal stakeholders.
  • Contribute to the implementation of process improvements
  • Ensure compliance with all record keeping requirements.
  • Undertake any adhoc projects, initiatives, tasks as directed by the Finance and Commercial Manager
  • This position operates within guidance from the Finance and Commercial Manager and parameters derived from approved business operating plans, contracts and tasks allocated to meet operational and Health, Safety and Environment (HSE) requirements. This level of authority is as noted below but may vary with business and operational requirements.
  • Actively promote and champion the use of best practice to ensure compliance with U-Go Mobility Procurement Policy and procedures.
  • Working with management teams in setting and reviewing the commercial framework for key areas of procurement.
  • Produce and maintain internal guidance documents and training on procurement and subcontract management.
  • Maintaining contract registers and supporting documentation.
  • Liaising with Suppliers and internal stakeholders on reporting, review meetings, documentation, price reviews etc
  • Building strong and robust working relationships with internal and external stakeholders.
  • Specific Role, Responsibility and Accountability according to the U-Go Mobility RAA Matrix (EIMS and site Safety Management Plans.
  • U-Go Mobility / Project HSEQ Management Systems; and
  • Modelling the safety behaviours aligned with U-Go Mobility's One HSE Safety Culture Framework.
  • Support business and operations with the drafting of key subcontracts.
  • Assisting with requests and assessment of quotations from Suppliers.
  • Ensure use of Supply Chain Finance across all major suppliers.
  • Maintain thorough records through the tendering process to ensure proper and efficient handover to Project/ Operations teams.
  • Liaising between suppliers, manufacturers, relevant project teams.
  • Prepare accurate and economic pricing of tenders with due regard to vendor/ sub
- contractor positions and market forces.

  • Participation in audits as required.

Qualifications and Experience

  • Completion of Secondary schooling preferred.
  • Knowledge and practical experience of process management.
  • Relevant experience of Materials and or production management.
  • Knowledge of stock control, inventory and warranty systems and processes preferred.
  • Strong communication skills (oral & written) including strong negotiation and influencing skills and the ability to establish effective working relationships with a variety of people at different levels both internally and externally.
  • Demonstrated ability to work independently to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and followthrough within a fastpaced environment with multiple and competing demands.
