***: The Business Support Officer contributes to the effective and efficient planning, monitoring, coordinating and delivery of the COVID Program Branch activities and obligations within the wider Public Health Division. This role will provide high quality secretarial, administrative and coordination support to the Senior Executive Director (SED) of the COVID Program, and other executives within the branch as required. This includes managing correspondence, calendar requirements and workflow, acting as a pivotal point of contact with internal and external stakeholders and working with the Office of the SED team to ensure the Branch is well supported.

The role will work closely with key stakeholders across the branch and wider department to ensure appropriate systems, processes and procedures are in place to meet ongoing departmental responsibilities are provided to ensure the division is well positioned to meet its obligations in a coordinated way to support the continued work required in supporting critical healthcare systems for the Victorian community.

The role reports to the Senior Coordinator, COVID Program Branch and will provide coordination support of day-to-day activities to ensure the team function achieves its relevant goals in relation to the wider COVID Program Branch activities.

Accountabilities

  • Arrange meetings and conferences for the SED, including organising room and venue bookings, coordinating and preparing highquality meeting papers and materials, organising agendas, taking minutes and following up actions
  • Maintain strong working relationships with senior stakeholders and peers across the Dept Health offices and with external organisations, partners and clients, representing the SED's expectations and providing high quality, helpful and timely advice and support.
  • Coordinate and assist in managing the business and operational processes of the COVID Program Branch and specialist teams.
  • Provide executive, operational and project support to the relevant internal stakeholder and broader group.
  • Undertake research, investigation, review, and general analysis of issues required for the leadership team to provide regular reporting updates to internal and external stakeholders.
  • Expand and maintain a sound understanding of government processes and compliance obligations within the current operating environment.
  • Keep accurate and complete records of work activities in accordance with legislative requirements and the department's records, information security and privacy policies and requirements.
