About the job


Are you a people-person with a passion for organisation in your day-to-day life? We are looking for a suitably experienced Administration Assistant to join us on a permanent full-time basis at our Kwinana Refinery.

You will join a small team of admin professionals who are working together to support our operating areas across site.


You will provide a high level, and standard of confidential administrative service to the Operation Area (OA) Manager, Supervisors, and other support staff in the areas.

This will mean that you are interacting with a wide variety of people, spending some of your time working from operational offices inside the refinery and other times in the main admin office to collaborate and continually improve process alignment with your peers.


The personal and administrative functions are:

  • Management of OA Manager's diary and scheduling requirements by utilising office automation systems and interpersonal skills,
  • Use of systems to provide OA personnel and customers with data in formats according to requirements. eg word processing, excel spreadsheets and graphical computer systems to coordinate reports, presentation material or statistical data,
  • Drafting correspondence to meet OA Manager's communication to internal and external contacts, using a high level of judgement in responding to customer requirements on their behalf
  • Contributing to OA efficiency and cost-effectiveness by ensuring special and ongoing projects are accomplished through coordination of required resources
  • Be the single point of accountability to the OA personnel as an area guide, and resource for Company procedures, and ensure personnel have necessary training to utilise such systems.
About you

To play a part in our ongoing success we are seeking someone with:

  • Highly proficient computer skills across the Microsoft Suites and other database type systems used by Alcoa such as Oracle
  • Well-developed interpersonal communication skills, to deliver key messages across levels of the business
  • Strict adherence to confidentiality of information, attention to detail, and work management.
  • A strong motivation to work effectively unsupervised, and ability to prioritise actions from a broad customer group, to compliment your drive to meet customer demands in a timely manner.
  • An inclusive, team-focused approach, with prior experience working as part of a team to continually improve and align your processes, resulting in the same level of service to your customers across site no matter which team member is actioning a task
