About the Role
They are currently seeking a professional and experienced Executive Assistant to join their team in Eveleigh with a relocation to Sydney Olympic Park later in 2023.
This is an estimated 3month temporary assignment, with a strong potential to extend.Working within the Aeromedical Operations Division, you will be required to provide a wide range of executive and administrative support services to the Executive Director and their respective divisional teams to achieve organisational goals
Responsibilities
- Act as first point of contact on behalf of the Executive Director
- Screen and triage incoming calls, answer inquiries in an accurate and timely manner
- Complete diary management
- Scheduling and coordinating meetings, workshops and seminars including setting up, catering, equipment and overall presentation
- Prepare high level documentation including requests for advice, briefs, meeting minutes, agenda's, correspondence, reports and presentation material
- Conduct research, gather and collate information to assist in informed decisionmaking outcomes
- Logistical support including travel, accommodation and fleet management
- Manage, sort and distribute incoming and outgoing mail
- Manage and maintain office equipment and stationery
- Manage and process invoices, petty cash and other financial administrative duties
- Work collaboratively with a wide range of stakeholders to facilitate engagement and contribution of ideas
- Records and database management ensuring high integrity, accuracy and confidentiality
- Contribute to development and implementation of innovative improvement strategies to mitigate risk
- Ensure compliance with Departmental policies and procedures
About you
- Previous experience working within a complex/sensitive environment
- Health or NSW Public Sectors experience highly advantageous
- Impeccable communication skills, both verbal and written
- Superior organisational skills with the ability to multitask and prioritise conflicting deadlines
- Takes initiative, with the ability to work independently
- High attention to detail
- Strong computer literacy skills and proficiency with MS office Suite and TRIM
Requirements:
- Demonstrated Executive Assistant experience providing support at Executive Director level
- Willingness to undergo a National Police Check
- Fully COVID vaccinated or medically exempt
- Ability to commence and commit to the duration of the assignment
