Orange College is a private provider of VET and ELICOS courses located in Melbourne CBD, Port Melbourne and Hobart. The college is seeking an experienced Records Officer/ Data Entry Officer to join us at Port Melbourne campus.


Position Objective:


Training Support Officer (Records) is responsible to verify and update students' records in the Student Management System accurately and in a timely manner.

Training Support Officer (Records) will be responsible to verify and enter students' unit outcome and record unit elements in the student management system.


Training Support Officer (Records) will be reporting to the Records and Assessments Coordinator, where goals and objectives are set in order to achieve Orange College Strategic goals.

The Records Officer will be responsible for following up Academic Tickets in circumstances where Trainers and Assessor are not submitting the required unit outcome as per the submission schedule

Your role will be the following daily duties (But not limited to):


Key Responsibilities:


Records:


  • Accurate data entry of student records in the student management system
  • Accurate Verification of all results and related documents (Assessments)
  • Generating and analysing reports for results
  • Assisting student support service team with assessment query through ticketing system
  • Oversee academic results once updated on the system
  • Dealing with enquiries and requests for information from both internal and external departments.
  • Ensuring that data is protected classified and indexed records
  • Ensuring that records are easily accessible when needed
  • Recording unit elements in the student management system
  • Managing internal systems and maintaining student records in a timely manner
  • Allocating all academic results in the system once they have been verified
  • Ensuring that student records and files are easily accessible when needed
  • Maintaining records of student's assessments and filing them in the student academic file
  • Monitoring students' progress and identify students at risk prior to completion of their qualification
  • Archived students' files as per the records management policy
  • Participate and lead in continuous improvement in record management system
  • Responsible to maintain Google Drive
  • Trainer Submission files/folders
  • Uploading all EOU (End of the Unit) Results in appropriate folders
  • Responsible to print student's credentials
  • Responsible to export the units reports from the Learning Management System and update the results in the Student
  • Generating the reports daily to keep a track on assessment records

Key Selection Criteria:


  • Prior working experience in RTO and student management systems is a must.
  • Flexibility for 5 days varying availability to work across, evening and weekend office hours
  • Highly developed communication and interpersonal skills. High degree of accuracy and attention to detail
  • Basic knowledge of AQF requirements, Standards for RTO's 2015 and CRICOS, the ESOS Framework and the National Code 201
  • Ability to gain support and cooperation from others. Presentation and facilitation skills
  • Flexible and ability to plan, organise and prioritise workloads.
