A little bit about us


The Arts Division leads the Department's engagement on arts and culture and provides high quality strategic advice to the Minister on creative sector policy and program issues.

The Division also administers programs that support Australia's creative sector and stimulate participation in Australia's cultural life; and foster employment and growth across the creative sectors.

Artbank is a section within the Creative Industries Branch of the Arts Division.

Established in 1980, Artbank is an Australian Government arts support program, and a key component of the Government's support for visual artists.

The program aims to increase the sustainability and accessibility of Australian contemporary art; support Australian contemporary artists; and encourage engagement with and appreciation of Australian contemporary art by the broader community.


Within this context, Artbank has two core program objectives: to provide direct support to living Australian artists through the acquisition of their work; and to promote the value of Australian contemporary art to the broader community by making this work available through an art rental scheme.

Artbank has offices in Sydney, Melbourne and Perth.

The opportunity we have available

The position of Facilities and Office Coordinator is responsible for a variety of day-to-day office and administration tasks.

You will be an integral part of the team by ensuring that our office operations run smoothly and are successful in supporting other business activities and organisational reporting requirements.

An excellent facilities and office coordinator is, above all, an organised and competent professional with phenomenal communication skills.

You will be comfortable dealing with people and be able to carry out your range of duties with accuracy and speed.


This is a full time position for someone who has a high attention to detail, is an open and engaging communicator and who values quality customer service - ideally with an interest/experience working with contemporary art.

This position is located at the Sydney Artbank office in Waterloo.

What will you do?

  • Under general guidance and in accordance with APS values and Code of Conduct, Government and Departmental policies and the relevant Secretary's Instructions, the Office Coordinator duties include, but are not limited to, the following:
  • Coordinate the administrative functions of Artbank and maintain a high-standard of service to internal and external stakeholders.
  • Coordinate the planned and reactive facilities maintenance requirements for Artbank offices, including seeking relevant quotes for services, tracking status and budget, managing contractors, landlords and agents to ensure maximum operational effectiveness and limited down time.
  • Prepare and manage artwork rental agreements for clients, including processing client documentation, preparing, printing and mailing client agreements, invoicing, monthly renewal of existing agreements, allocating artworks to agreements, responding to client service requests and supporting the client services team needs.
  • Perform basic finance and bookkeeping tasking including the processing of payables and receivables, reconciliation of credit cards, cabcharge and travel on a monthly basis.
  • Preparation of information to support the reporting obligations of departmental requests as required.
  • Support the delivery of events and activities within the Artbank program.
  • Take responsibility for the achievements of own and team outcomes, monitor progress and follow through to deliver quality outcomes with a high attention to detail.
  • Participation in and contribution to collaborative relationships within the Department and external agencies and stakeholders, including the general public.
