The Department of Infrastructure, Transport, Regional Development, Communications and the Arts is responsible for the design and delivery of the Australian Government's infrastructure, transport, regional development, communications and arts policies and programs.

In the Department's Legal, FOI and Privacy Division, we provide high quality, practical, technically excellent and timely legal advice, support and services for the department and Ministers' offices, on the diverse areas covered by the portfolio.

The Division has also integrated with the Department's FOI team, who are responsible for coordinating all FOI matters, with assistance from the line area and action officer(s), and providing specialist advice to the decision-maker regarding FOI processes and exemptions contained in the FOI Act.


The opportunity we have available:


We are looking for an Administration Officer to provide administrative support to the Division's function of assisting to deliver quality, timely legal advice to maximise efficiencies within the Division.

The Administration Officer may also be responsible for providing administrative support to the FOI team on occasion, when required.

Out of this process, we may decide to establish a merit pool for future vacancies.


What will you do?:


As our Administration Officer, you would support the Legal Services Practice Manager in setting up the processes and procedures which would allow effective administrative support for the Division.

You would also fulfil the duties of an Administration Officer for the Division, including:


  • Championing and supporting improved work practices;
  • Consulting with the Legal Services Practice Manager to ensure adequate support is provided to lawyers;
  • Assisting with administrative recruitment activities and onboarding of new staff;
  • Coordinating and liaising with Corporate functions for Legal Services including for the purposes of internal and external reporting;
  • Working with our matter management system (LEX) to provide weekly reports;
  • Processing invoices and monthly accruals;
  • Creating & maintaining purchase orders and variations in SAP;
  • Performing adhoc tasks to assist the Division;
  • Assisting with diary management for Practice Management activities;
  • Providing other high level administrative and operational tasks as required to support the Division; and
  • Support the Department being a safe and supportive working environment, including by complying with the APS Code of Conduct and relevant policies.

Who are we looking for?:


  • Is selfmotivated, committed and possesses good communication, organisational and interpersonal skills;
  • Is flexible and willing to undertake a variety of tasks;
  • Works effectively with internal and external stakeholders;
  • Has experience using MyWorkplace and the Microsoft office suite (in particular, Microsoft Word, Excel and Outlook);
  • Has excellent written skills and can communicate persuasively and in plain English;
  • Takes initiative and responsibility for their work;
  • Is able to work in a fastpaced environment;
  • Is a team player with a positive and collaborative work style;
  • Is able to scan current and emerging priorities, identify the criticality of tasks, and manage the outcome as appropriate;

  • Able to exercise strong discretion in a position of trust, with particular regard to the sensitive nature of the work carried out by and within legal functions.
