About the role/ Position Purpose


The Administrative Officer position works in collaboration with academic and professional colleagues to provide effective and efficient administrative support for the Auburn Clinical School.

This role covers a broad range of administrative and student coordination support and customer service. This position located at the Auburn Clinical School and reports to the Head, Auburn Clinical School.


Key Responsibilities

  • Provide administrative support to the School including arranging events, regular and adhoc meetings, teaching program support, managing and supporting Clinical School committees (minutes, agenda papers and scheduling), supporting staffingrelated activities and room and facility bookings.
  • Provide excellent customer service to students and University stakeholders and act as primary contact for the Clinical School.
  • Liaise with a variety of University staff including Medicine academic and general staff on other campuses and Campus Services.
  • Ensure the dissemination of specific and accurate advice while maintaining confidentiality, integrity and compliance, including preparing and disseminating timetables to students in relation to attending the Clinical School, hospitals and healthcare facilities.
  • Support the organisation of assessment related activities at the Clinical School.
  • Provide financial support including credit invoice requests, processing payments, tracking expenditure, internal payment requests, business credit cards, purchase orders and invoicing.
  • Maintain Clinical School facilities, office space, office equipment and supplies.
  • Have an understanding of university matters and contribute to the improvement of service delivery across the wider University.
  • Work accurately with detailed information; including data entry, maintaining spreadsheets, managing correspondence, collating data for report and under direction prepare a range of written communication.

Selection Criteria**
Essential

  • Supportive of the Objects of Notre Dame as a Catholic University.
  • Completion of a Diploma level qualification with relevant workrelated administrative experience; and/or an equivalent combination of relevant experience and training.
  • Excellent organisational skills with the ability to meet deadlines, set and achieve realistic goals and establish work priorities either individually or as a team member.
  • Experience in and the ability to work without supervision.
  • Ability to maintain confidentiality and to exercise initiative, tact and sound judgement.
  • High level of attention to detail.
  • Welldeveloped interpersonal, oral and written communication skills including the ability to work as a member of a team, liaise with other staff members and interact with a diverse range of people whilst maintaining a strong focus on high quality service.
