About the role

  • Plan and coordinate the Program's contract lifecycle processes
, including drafting, negotiation, implementation, compliance, and performance monitoring.

  • Plan and coordinate resources required for contract negotiations by engaging with Legal and Procurement teams.
  • Coordinate ongoing tracking of contract deliverables with vendors
and reporting of status to Program Leadership.

  • Facilitate Supplier Governance meetings
including setting of agendas, minute and action taking and creation of meeting documentation.

  • Manage and track vendor billing as per contract terms.
  • Manage and maintain contract templates and artefacts.
  • Establish and maintain positive relationships with Service Providers, serving as the primary point of contact for contract related matters.
  • Coordination and follow up with stream leads and Program team in creation and upkeep of risks and issues.
  • Coordinate the Program resource allocations and reporting to effectively plan and forecast resource requirements, monitor resource demands, identify renewals and staffing movements alongside Finance and People & Culture.
  • Facilitate the Program's change control process including guidance on scope, financial and schedule impacts, coordination of approval process, coordination and follow up of action owners, and logging decisions.
  • Where required, assist Finance with Program financial management including processing of invoices, end of month, forecasting and financial reporting.
  • General administrative support to the Program team including reports and presentations, tools and software administration / management, communications, and team events.

About you

  • Demonstrated significant experience in a large program or PMO environment as a program coordinator or administrator
  • Demonstrated experience in contract management and coordination from drafting, negotiation, signing and ongoing tracking for Master Services Agreements and Statements of Work.
  • Demonstrated knowledge and understanding of program governance and constraints including risks, issues, budget/financials, schedule, scope and dependencies.
  • Demonstrated experience in establishing and driving set processes and procedures, ensuring set deliverables are delivered on time and of a high standard.
  • Demonstrated experience and proficiency in Excel, PowerPoint, SharePoint, Visio, JIRA, and Confluence.
  • Demonstrated experience producing and presenting high quality artefacts, translating complex information into simple and easy to understand language across many different target audiences
