The Opportunity
This is an exciting opportunity for a motivated individual to be part of a leading Financial Services Organisation.

The Board & Governance Administrator will be a key member of the secretariat and governance function and will support the Company Secretary in the management and support of the Board and Board Committees administration related to the corporate governance, legal and regulatory obligations.


Duties and Responsibilities

  • Coordinate both Board and Committee meetings and liaise with Executives and Company Secretary, Chairs and Chief Executive Officer to determine clear agendas and timetables
  • Manage communications with Company Secretary, including the production and dispatch of management reports and Board and Committee papers and agendas and review meetings
  • Create agendas, attend meetings and record minutes
  • Manage statutory filings and lodgements in timely manner, including ASIC Company Statements
  • Communicate directly, and on behalf of the Company Secretary, with Board and Senior Management
  • Manage the Company Secretariat Group Mailbox and administrative requirements of Directors, including Director expenses
  • Keep the Director and Board related pages of the Website and Intranet up to date
  • Review and improve operating practices within the Company Secretariat team to ensure it operates to its optimum
  • Process of governance related expenses through internal procedures
  • Monitor security holder queries and working together with the Business to coordinate responses and posting on the Board portal

Skills & Experience

  • Experience in a similar role supporting a company secretary or company secretariat function
  • Experience in or ability to use online board paper management system
  • Relevant TAFE, undergraduate and/or postgraduate qualifications (desirable but not mandatory)
  • Organised, methodical and attentive to detail
  • Responsive and highly efficient in the provision of administrative support including strong MS Office skills
  • Proven experience to build and maintain relationships with relevant stakeholders including those at board level
