Your Role:


The Facilities Manager is a critical role in the Hub business that is responsible for facilitating premium experiences for members and the Hub Australia team through reactive & proactive maintenance, contractor management, facilities audits, process improvement and timely communication.

Reporting to the National Facilities and CAPEX Manager, you will work as part of the Hub Australia Property Team.

You will collaborate closely with the team to assist in CAPEX works through direction of the National Facilities and CAPEX Manager, with exposure to new builds and capital works projects by undertaking project related tasks and assisting with defect liability.


Responsibilities:

Facilities & Project requirements:


  • Facilities Management of a key portfolio of Hub Australia sites across Victoria and South Australia, with expansion opportunities.
  • Resolving all Facilities related issues in a timely & safe manner (including escalation where needed).
  • Report portfolio activity to the National Facilities & CAPEX Manager and the wider property team.
  • Serve as the portfolio point of escalation for major Facilities, WHS and CAPEX requirements (where the National Facilities Manager is your point of escalation).
  • Support the wider team when it comes to training and onboarding of facilities components of their roles.
  • With the support of the National Facilities & CAPEX Manager, manage key external relationships including building management representatives, external contractors, consultants property owners and owners representatives.
  • Immediately rectify any WHS or noncompliant issues within the spaces.
  • Serve as the point of escalation for all customer requested changes to the space (including any members who wish to bring in their own furniture or changes to the physical space, etc.)
  • Maintain general oversight to ensure accuracy and ongoing documentation of relevant records and contracts.
  • Responsibility to be the key contact for organised works within the spaces as required
  • Manage contractors to ensure good & timely workmanship as per the signed service agreement throughout the Hub Australia portfolio
  • Take an active lead as required on Facilities, CAPEX or project works as directed by the National Facilities & CAPEX Manager
  • Provide positive input to team decisions, changes & processes
  • Keep stakeholders informed and engaged with all key tasks, such that they can communicate effectively with customers and create a great workspace experience for everyone who chooses to spend their time at Hub.

Key skills & experience

  • 5 years minimum facilities experience, managing multiple sites on a client side portfolio.
  • Previous experience managing minor projects $ 250 k $1 Million in value with the ability to troubleshoot through difficult situations and achieve desired results in a positive and timely manner
  • Exceptional time management and workload prioritisation skills with the ability to juggle multiple tasks, deadlines and stakeholders
  • Experience in managing a small team
  • Firstclass customer services skills & communication, with the ability to assert calm in all situations
Experience administering a ticketing system with attached SLA's.
