Our Exciting Opportunity
The Service Delivery Coordinator plays a key support role to the service delivery team.

You will be expected to undertake a range of administrative tasks under the direction of the Production Manager on duty, working closely with all members of the SDG to support File and Live captioning requirements - both on-the-day and into the future.

The coordinator will liaise with clients, production companies and external suppliers to source materials.

When required, they will import future TV schedules into internal workflow tools and will check work lists to ensure accuracy.

They will also check amendments and update systems with new information in advance of TX, checking that resource is assigned to live allocations.

They will be required to spot-check and dispatch caption files to all clients.

Tasks will also include obtaining media, scripts and other materials to assist in captioning, working to agreed internal and client deadlines in advance of TX.


The coordinator will prepare scripts for captioning and check for accuracy; they will also manage FTP transfers and ingest media from DVD and other sources.


In this role, you would:


Service delivery - RBM Clients

  • Awareness of the contract work you're doing for each client, contributing to ensuring that all SLAs are met
  • Point of contact for client production teams with responsibility for schedules, production scripts and media
  • Ensure client satisfaction through prompt and courteous responses

Operational excellence

  • Identify ongoing resource requirements
  • Optimise the workflow for script creation using the script extractor, ASR and the aligner
  • Actively support the Production Manager who is managing service delivery on the day

Reporting

  • Managing the caption file database and archive
  • Dealing with queries around file availability, processing sales and logging details in advance of invoicing.
  • Querying availability of overseas files if applicable, assessing pricing and administering the ordering and the receipt of appropriate files
  • Liaison with other external file suppliers as required (e.g. CBS for 10 programming)
  • Cross checking Plan Bee against client schedules ensuring the most accurate information is in the system

Key Performance
Indicators

  • Focus on processes that facilitate File productivity improvements (e.g. script extraction, ASR processes)
  • Focus on reduction in captioning outages, both number and duration
  • Cost effective allocation of resource under the instruction of the PMs and SDG Leads

Key Interfaces

  • This role will work in full partnership with the Service Delivery Group and captioners in all locations.
  • You will also be in regular contact with your counterparts within the distributed team as well as with a range of external clients and suppliers.

Travel Requirements

  • As required within Australia.
  • Excellent written and verbal communication
  • Microsoft Office skills (e.g. Word, Excel)
  • Interest in working across a variety of different software platforms
  • You will be used to working in a rapidly changing environment requiring a flexible and 'can do' attitude at all times, even when there is unclear direction
  • Excellent time management, organisational skills, accuracy and meticulous attention to detail
  • Excellent working knowledge of Plan Bee and all resource and allocation tools training to be provided
  • Understanding of production processes and operational procedures
  • Understanding of the core Red Bee Media tech infrastructure supporting all client services
  • Knowledge of production techniques and facilities in media access and the media industry as a whole
  • An awareness of Red Bee Media policies on Health and Safety
  • Planning and organising; accuracy and clarity in reporting and communication; resilience; flexibility; accommodating under pressure; ability to work cooperatively with others; ability to influence and negotiate
