about the role
Chevron Australia has an exciting opportunity for an
Operations Support Assistant to join the Maintenance and Construction team. Reporting to the Maintenance and Construction Team Lead, this permanent role will be based in Brisbane Head Office.


This role who will be responsible forproviding all administrative support to the maintenance and construction team including all invoice management, maintenance reporting and compliance support.


Responsibilities include, but are not limited to
the following:

  • Establish process for triaging job prioritisation to support Maintenance Specialists with job execution.
  • Support M&C Analyst with asset management database and Preventative Maintenance schedules.
  • Management of EndtoEnd Invoice processing for National M&C works 25,000 invoices nationally (per annum).
  • Management and reconciliation of invoice disputes, discrepancies, and credit card statements.
  • Establish and manage interdepartmental and external vendor/contractor relationships.
  • Provision of ongoing training and support to all M&C team members in department systems and processes.
  • Maintain company vehicle and fleet database liaising with external service provider (LeasePlan).
  • Management of all thirdparty insurance claims; ensuring support and direction to other business stakeholders to facilitate efficient collation of information to insurance company.
  • Work closely with M&C Specialists, Analysts and Project Team to develop efficiencies in the current team processes.
  • Support maintenance of master data in SAP; updating functional locations, equipment of plants as well as requesting changes to vendor contact information.
  • Provide Monthly reports on Fleet management (fleet performance and telematics, Asset Listings/ Asset Disposal and Asset Transfer forms.
  • Provide Fortnightly reports and status update of all thirdparty insurance recoveries and claims to the broader AO Team.
  • Work closely with the Maintenance Specialists and SAP Teams to drive development and improvements in system reporting to support HSE, CAD and Chevron Global reporting requirements.

Knowledge, skills, and experience:


  • A minimum of 2 years' experience in administration or similar role. (preferred, but not essential).
  • Experience in the Fuel / Oil / Petroleum industry, specifically being involved in Maintenance Management Systems, Compliance, Reporting and Administration in relation to Assets & Maintenance Management.
  • Proven experience using SAP and thorough understanding of Fiori cloudbased maintenance system.
  • Proven ability to produce high end reporting to Senior Management.
  • Welldeveloped interpersonal and communication skills.
  • Results orientated.
  • Strong data analysis skills.
  • Ability to build and maintain strong relationships with key stakeholders.
  • Very goodproblem solving skills: ability to anticipate issues and resolve them before they escalate.
  • Demonstrated well developed organisational skills; able to maintainaccurate job tracking and reporting systems.
  • Extremely proficient in all Microsoft Office Products.
  • Demonstrate a positive customer service ethic; energetic about addressing problems / issues when raised.
  • Attention to detail.
