The Finance Officer (Assets) supports the Asset & Capital Accountant in providing a high level of financial services within the organisation's financial management framework that is aligned with relevant legislations, policies and Australian Accounting Standards.


The position encompasses the following responsibilities:

  • administration, recording and reporting of assets including Work in Progress.
- monthly control account reconciliations including the Fixed Asset Register.
- supporting the organisation's BAS tax obligations.
- providing guidance and awareness of relevant legislation, policies and procedures;


Key Responsibilities
***
Fixed Assets/Capital Projects
***- Maintains and updates the Fixed Asset Register including additions (transfers from WIP to FAR), disposals, revaluation and depreciation.

  • Continuously improves the data in the Fixed Asset Register including review of asset descriptions, locations, depreciation rates, useful lives, etc.
  • Prepares overhead allocation journals for all projects.
  • Reviews Work in Progress projects on a monthly basis and capitalises completed projects
  • Monthly reconciliation of the Fixed Asset Register and Work in Progress control accounts.
  • Coordinates the stocktake/annual verification of Fixed Assets and Portable and Attractive items and reconciles them to the registers.
  • Maintains and stores all fixed asset documentation.
  • Reviews useful life of fixed assets in line with the Financial Management Manual.
  • Processes the revaluation of assets at the end of each financial year.
  • Assists the Capital & Asset Accountant in compiling monthly CFO Capital and Treasury Reports.
  • Creates and maintains Fixed Asset manual for SAGE X3 system including the process of rolling over the Fixed Asset module, running monthly depreciation, asset addition and disposal, asset revaluation.
  • Prepares and submit periodic and ad hoc journals with respect to the above functions.

Tax Returns
***- Liaise with the Australian Taxation Office in matters with respect to BAS returns.

  • Reconciles the related control accounts monthly.
  • Assists in the provision of guidance to stakeholders in matters of GST.

End of Month (EOM)
***- Undertakes EOM routines including journal preparations and postings.

  • Liaises with Project Officers and Managers to ensure all overhead allocations are submitted accurately and on a timely basis.
  • Reconciliation of assigned key control General Ledger accounts and the monitoring of relevant transactions.

FMIS Support
***- Act as FMIS Support Officer and provide training in the use of the FMIS to new and current members of the Finance team.

  • Monthly/Annual System rollover.
  • Set up of new GL accounts, project codes, product codes etc as required.

Other
***- Review of data submitted by key suppliers on a weekly basis, ensuring invoices are sent out each week

  • Assists with internal and external audit processes, including liaising with the Office of the Auditor General audit team in relation to matters within their area of responsibility.
  • Assists in the development, improvement, implementation and maintenance of policies, procedures, systems and business processes in the relevant areas of responsibility.
  • Assists the Capital & Asset Accountant and Financial Accountant as required.

Essential Skills or Experience
***- Demonstrated experience in systems and business process in the areas of responsibility, in particular Fixed Assets and Capital Projects monitoring/reporting.

  • Welldeveloped organisational, analytical and problem solving skills including the ability to identify priorities and meet deadlines.
  • Well developed verbal, written and interpersonal communication skills with proven ability to build and maintain working relationships to achieve outcomes.
  • Excellent computer skills including Financial Management Information System and Microsoft Office Software, specifically Excel (intermediate to advanced) and Outlook.
  • Demonstrated ability to work in a team environment with limited supervision, including the flexibility to 'crossover' into other finance related roles.

Desirable Skills or Experience
***- Possession of, or progress towards a relevant tertiary qualification in business, commerce or finance discipline.

  • Knowledge of Financial Management Act (FMA) 2006 and Treasurers' Instructions.
**_NB: A National Police Clearance is a requirement for this role_
