Your new role


We are currently seeking an Executive Assistant to join the QBE Australian Pacific Division, where you will support the Chief Underwriting Officer and GM Underwriting Governance & Performance.

In this role you will provide support services, engage with key stakeholders, and provide exceptional assistance in the following areas:


  • Work directly with the Senior Executives to support all aspects of their daily routine, coordinating complex scheduling and calendar management.
  • Maintain the Senior Executives' calendars including scheduling meetings, appointments, speaking engagements and travel arrangements. Exercise discretion in committing time and evaluating needs.
  • Draft, review and send communications on behalf of the Senior Executives, including but not limited to:
  • Correspondence to internal and external stakeholders.
  • Presentations.
  • Board papers.
  • Meeting agendas and distribution of minutes.
  • Organisation and preparation of meetings, including gathering and creation of documents, logistics and communications ensuring a high level of attention to detail and reflective of attendees.
  • Maintain records and documents for Executive including minutes and actions.
  • Make decisions on behalf of the Senior Executives within the limits of the delegated authority.
  • Keep the Senior Executives advised of timesensitive and priority issues, ensuring appropriate followup.
  • Communicating with Executives of external organisations, suppliers and clients on behalf of the Senior Executives.
  • Coordinating the organisation of business functions, lunches and dinners.
  • Understanding and accountability of FAR requirements (where applicable).
  • Balance multiple priorities, work independently and as part of a team and maintain a high level of productivity.
  • Effective people management, including addressing issues with HR Business Partner and providing insights requiring the Senior Executive's attention.
  • Continue to build a high performing PA team through continuous engagement with a focus on collaboration, engagement, learning and development.
  • Mentoring and coaching of wider PA and Administrative Network.
  • Discretion when dealing with sensitive information.
  • Maintaining budgets where required and prepare, reconcile and submit expense reports.
  • Demonstrating QBE DNA and setting the tone across individual business units and as an extension of the Senior Executive's brand.


This is a diverse role which requires someone who can prioritise tasks, manage the Senior Executives' expectations along with their own, work under pressure, manage large projects, be able to multi-task and have a strong attention to detail.

It is a role that also requires emotional intelligence, strong communication and interpersonal skills and excellent customer service.
About you


You're an experienced Executive Assistant who has demonstrated success providing high-level support to a busy executive/s in the Financial Services/Professional Services industry for a minimum of 8 years.

You have immaculate attention to detail, exceptional time management and organisational skills and can harness these to achieve efficient and effective results.

You bring strong interpersonal skills, and the ability to build and nurture relationships across all levels of the organisation. Your adaptability and accuracy at pace will compliment your strong foresight and a proactive attitude.
