Job Summary


Martinus are seeking an Office Manager & Executive Assistant to support the Project Management Office on the upcoming A2P - Inland Rail Project.


The role will cover day-to-day management of the office and provide Executive Assistant support to the Project Director, based in North Sydney.

Tasks and Responsibilities

  • Welcome office visitors and new starters, assisting with access, initial set up and inductions
  • Work closely with other departments including HR, IT and Facilities Management
  • Plan, organise and coordinate meetings, events and schedules
  • Maintain office supplies, equipment and inventory
  • Coordinate office maintenance and repairs, liaising with vendors as necessary
  • Handle incoming and outgoing correspondence, redirecting as appropriate
  • Maintain accurate records, including filing paperwork and managing databases
  • Assist with accounts management, invoicing, expense tracking and credit card reconciliations
  • Provide Executive Assistant support to Project Director including diary management, scheduling appointments and travel arrangements
  • Handle miscellaneous administrative tasks as they arise, providing general support to project team

Skills and Experiences:

Experience

  • Experience in a similar role, preferably in rail, construction or a related industry
  • High level of organisation, ability to prioritise and strong time management skills
  • Ability to build relationships with internal and external stakeholders
  • Exceptional written and verbal communication skills
  • Demonstrate a high level of accuracy and attention to detail
  • Advanced knowledge of Microsoft Office suite
