About the role:

As Executive Assistant to Aurizon's Group Executive Bulk you will be providing a high level of confidential, effective, and efficient support, including administrative and other tasks, to the Executive office and specialised area of support.


  • Anticipate the needs of the Executive in planning and undertaking tasks and office management activities.
  • Provide confidential and timely administrative assistance to the Executive which may include reporting, word processing, spreadsheets, flowcharts and presentation preparation and distribution.
  • Liaise between the Board, Executives, Business Leaders, Union Officials, Senior Government Officials and members of the public to ensure the efficient operation of the Executive.
  • Diary management which may include coordinating and allocating appointments, arranging conferences and meetings, travel and accommodation arrangements, screen visitors and telephone enquiries to allow the Executive to effectively carry out their role.
  • Provide administrative support at meetings and conferences which may include preparing minutes, agendas and action lists and liaising with Executive and Management as required.
  • Advise the Executives of issues requiring their attention and take follow up action to ensure the successful completion of tasks (including preparation of routine responses).
  • Establish and maintain office management systems by prioritising and distributing correspondence and monitoring outcomes and actions when required.
  • Undertake other duties as requested and coordinate unit business activities when required.

About You:


  • Minimum 5 years administrative experience.
  • Previous experience supporting Executive or Senior Leaders.
  • High level of organisational and time management skills with a strong capacity to work under pressure, multitask and manage matters of a confidential and sensitive nature within tight deadlines.
  • High level of written, oral and interpersonal communication, influencing and negotiation skills.
  • High level of project management, problem solving, analytical, research and decisionmaking skills.
  • Demonstrated ability to work independently and collaboratively as part of a team.
  • Is proactive and patient with stakeholders and demonstrates high ethical standards, integrity, and commitment to all business and commercial dealings.
  • High knowledge of HR management, budgetary and financial processes, IT, safety, legal compliance, business planning and asset control.
  • High level of knowledge of correspondence, submission proforma and procedures within protocols, structures, and operations.
  • Experience supporting Board or Committees
