We are looking for an experienced Medical Receptionist to join our busy and diverse Opthamology practice at Macquarie University Clinic.


THE ROLE- Part-time (3days/week) position available within Macquarie University Clinic Join an organisation at a time of growth and expansion in a supportive team Competitive Salary, plus 10% superannuation & access to the full salary packageWe are seeking a skilled Medical Receptionist and Administrative Assistant who thrives to work in a dynamic, multi-faceted and fast-paced environment within MQ Clinics (Opthamology).


The role will be responsible for the provision of high-quality administrative support services to general and specialist practice clinicians in their clinic rooms.

You will work as part of a team to ensure a high-quality patient experience and work with clinicians enabling them to a run an efficient and professional practice.

The role requires a firm commitment to excellent customer service, patient-centred care and learning and managing a variety of processes.


Key accountabilities include:

  • Provide administrative support and liaise with patients in person and over the phone
  • Manage patient appointments with clinicians
  • Ensure patients are billed in an accurate and timely manner
  • Update and maintain confidentiality of patient recordsAbout You


You will be an enthusiastic and professional individual who enjoys interacting with customers/patients to provide excellent customer service in each and every interaction.

You will have previous reception and administration or customer service-related experience.

You will enjoy working in a lively environment with excellent organisational skills and the ability to prioritise work while maintaining a high level of accuracy.

Key Accountabilities include (but not limited to):

  • Greeting and assisting all persons arriving at the clinic
  • Providing customer service, making appointments and answering enquiries from patients and medical practitioners
  • Scheduling patient appointments in line with the requirements of each clinician
  • Ensuring accurate data entry of patient information into the patient management system
  • Organising patient surgical/hospital quotes
  • Assist clinicians in managing their inpatient hospital work
  • Preserving confidentiality and privacy of all patient information and records
  • Ensuring patients are billed and receive receipts in a timely manner
  • Processing Medicare and Private Health Fund billings
  • Monitoring and ordering supplies as required
  • Organising room repairs with MQ Health/MUH facilities teams in a prompt manner
  • Attending to general housekeeping duties in reception, kitchen, bathroom and waiting areas
  • Communicating, liaising and coordinating duties with other administrative and reception staff in the clinic and throughout other MQ Health and affiliated clinics
  • Opening and closing the practice in accordance with procedures
  • Collection/sorting of incoming mail and coordination of outgoing mail-
  • Reconciling end of day cash/EFTPOS and undertaking associated banking tasks

To be considered for this position, you will demonstrate in your resume and a 1-page cover letter that you possess:

  • Demonstrated sound verbal and written communication skills and ability to build rapport and empathise with patients
  • Demonstrated commitment to high level of customer service delivered in a professional manner at all times
  • Demonstrated 3 years reception and/or administration experience
  • preferably working in a general or specialist medical practice or hospital setting

  • Competency in healthrelated software packages (Genie or Best Practice)
  • Excellent organisational and time management skills
  • Excellent attention to detail
  • Ability to work effectively as part of a team
