Applications are invited for the full-time ongoing position of Administrative Assistant in the Office of Minister the Hon Mark Butler MP based in the Minister's office in Australian Parliament House in Canberra, ACT.


The Office is seeking a person with strong administrative and communication skills, preferably with experience as an Executive Assistant or Receptionist, to provide quality administrative and logístical support to the Minister, Chief of Staff and the Office.


The key duties of the position are, but are not limited to:

  • Provide administrative support on priority and sensitive administration, program and logístical issues.
  • Provide scheduling and logístical support for meetings and major events.
  • Maintain effective relationships with other Ministerial Offices, Electorate staff and the Department of Health and Aged Care on administrative routines and matters.
  • Plan and execute administrative routines and tasks during sitting and nonsitting weeks.
  • Act on behalf of the Chief of Staff to monitor and approve staff travel, leave and expenses.
  • Occasional interstate travel and work outside of standard business hours will be required.
  • Other tasks as directed.

The ideal applicant should possess the following skills and experience:

  • Experience as an Administrative Assistant or receptionist in a demanding public, non-profit or private sector environment.
  • Ability to work effectively and liaise with other Ministerial Offices, the Department of Health and Aged Care and the community.
  • Excellent communication skills and the ability to communicate to a variety of audiences.
  • Experience in working in a dynamic environment as part of a team.
  • Proficient knowledge of administrative systems such as diary, travel and file management.
  • Working knowledge of the political process and the Australian parliamentary processes and system of government.
  • Demonstrated professional integrity and the ability to exercise discretion and maintain confidentiality.
  • Proven reliability in meeting deadlines and commitments especially in high pressure situations.

Employment Conditions:

The position is offered under the Members of Parliament (Staff) Act 1984 and conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement which include:

  • A commencing salary between $57,132 and $69,170 will be negotiated depending on experience and relevant skills.
  • An additional Personal Staff Allowance of up to $25,868 is payable in recognition of, and as compensation for, reasonable additional hours of work.
  • An employer superannuation contribution of 15.4% will be payable.


All ministerial staff will be bound by a code of conduct and be required to obtain and maintain an Australian Government security clearance (NV2).
