THE ROLE
We are currently seeking a motivated, efficient, and highly organised Ward Clerk for our Endoscopy Unit.

Key accountabilities include (not limited to):

  • Provide administrative support to the department by completing Administration duties associated with the role including, but not limited to, registration, bookings, admission and discharge processes, monitoring incoming calls, scanning and uploading of patient documents, clerical support and data entry.
  • Effectively communicate with patients, carers, colleagues and clinicians
  • Input of KPI data as required for department reporting
  • Where appropriate, participate in data entry activities that relate to patient care activities and supporting any member of the health care team
  • Assist in management of patient flow including bed allocation & room set-up
  • Assist the health care team in obtaining information, reports or correspondence related to patient care
  • Build and maintain relationships with key stakeholders across MQ Health
  • Develop and maintain effective electronic and paper based filing systems
  • Ensures that all documentation is accurate and completed in a professional and timely manner
  • Participates in audit preparation and auditing processes
  • Adheres to hospital policies and procedures as well as legislation affecting nursing practice at all times
  • Ensures all mandatory education and competencies are completed
  • Demonstrates a willingness to work positively within a team to achieve team goals and the provision of excellence in care/service delivery
  • Ensures that all documentation is accurate and completed in a professional and timely manner
and in accordance with MQ Health Policy
  • Participate in the identification, design and implementation of quality improvement activities
  • Demonstrate a commitment to quality improvement and takes an active role in the ISO Certification process to meet ISO9001 standards
  • Ensures incidences are reported accurately and in a timely manner
  • Reviews and evaluates reported incidents and manages risk as per policy
  • Evaluates performance in a planned and systematic way and seeks feedback from customers in relation to the service delivered by the unit.
  • Seeks out guidance and support from appropriate clinicians as required
  • Participates in and contributes to occupational health and safety activities to ensure a safe work environment for clients, community, staff and visitors
  • Complies with obligations under Work Health and Safety Act 2011, NSW
  • Performs other duties as directed by the departmental manager

  • Experience in administration within a medical or hospital environment
  • Strong organisational skills with the proven ability to work to tight deadline

  • Well-developed computer literacy skills including the use of electronic medical records systems, MS Word, Excel and web-based research
  • A proactive and positive problem-solving approach
  • Be able to interact professionally with a variety of stakeholders
  • Strong customer service skills, be self-motivated and goal orientated
  • The ability to work independently as well as part of a team.
