This is a fixed-term, full-time 12 month contract offering hybrid work arrangements working 3 days from our vibrant Alexandria office (Mon-Wed) and 2 days work from home (Thu-Fri).


Who we are looking for:


  • A sound knowledge of Australian Geography
  • Strong skills and knowledge of Microsoft Office suite
  • Knowledge of AAT Kings products desirable
  • Strong administrative/ analytical skills
  • Ability to work effectively in a team environment as well as independently

What you will do:


You will be responsible for coordinating the administration of the Operations Department including the preparation of on-tour documents, liaising with road crew and internal departments to ensure the smooth running of our Guided Holidays.

Your responsibilities will include;

  • Administration of all pretrip documentation for Australian Travel Directors (prepare all admin onroad documents, coordinate TD relocation flights and pre/post accommodation, liaise with road issues, late bookings and trip amendments)
  • Maintain and Update TEAMS Travel Director site
  • Prepare Travel Director wages, Trip Advances and Commissions
  • Prepare new season optional sales information and resolve any discrepancies
  • Run and report on all guest feedback questionnaires
  • Maintain and update Crew instructions throughout the season as necessary
  • Assist Operations Manager to book and organise crew meetings
  • Arrange and confirm all guest airport transfers
  • Provide support and guidance to Travel Directors during any crisis/emergency situations
  • Action enquiries from the coach division, suppliers, reservations and suppliers
  • Investigate guest complaints with Suppliers, Reservations and Guest Relations Department
  • Operations support for Reservations and Finance teams and other duties as required
