Status Full time
Parental Leave Cover, March - September 2024

Classification Minimum Grade 4. Final remuneration will be determined according to the

Reporting Relationship Director of Learning and Teaching

Role Description
The Daily Operations and Curriculum Support Officer works closely with the Director of Learning and Teaching to
ensure that all functions related to the school's daily organisation are well executed. A critical component of this role
is managing the allocation of relief teaching staff on a daily and forward planning basis and assisting in the
preparation and maintenance of the timetable by entering relevant data, assistance with internal and external testing
and examination coordination, student data management and coordination of key learning related events. He/she
also provides administrative support to the Director of Learning and Teaching, SACE Coordinator and other key staff.


RESPONSIBILITIES
General

Timetable Support

  • Provide support through data entry in the preparation of the School timetable (R 12) in response to
direction provided by the Director of Learning and Teaching.

  • Prepare the publication of an annual timetable and process for developing the timetable in liaison with the
Director of Learning and Teaching

  • Make all adjustments to the timetable on an as needs basis as well as semester changeover times.
  • Maintain an accurate and uptodate student timetable and related databases.

  • Administer the Edval Yard Duty Roster and change on Synergetic.
Student Data Entry Management

  • Enter relevant student data into School databases, ensuring data integrity across schoolwide systems.
  • Roll over student information from one year to the next.
  • Work collaboratively with key staff including IT to ensure integrity of data.
  • Oversee the entry of all NCCD data and maintain Schools' online.
  • Extract data for NAPLAN data collection purposes.
  • Enter all awards in Synergetic to ensure accurate certificates.
  • Internal and External Testing and Examination Support
  • Assist in the preparation of timetables for all school exams, benchmark and national testing programs within

- the school.
  • In consultation with the Director of Learning and Teaching, prepare the exam supervision roster.
  • Receive, check, print, copy and securely store all exams prior to the examination period.
  • Provide support to the relevant leader of the exam to ensure the room/s are set up appropriately.
202- In consultation with the Director of Learning and Teaching, prepare and publish an annual examination

schedule.
Administration

  • Manage the allocation of relief teaching staff on a daily and forward planning basis, record weekly activity,
manage distribution of TRT forms, issue staff absence forms in conjunction with the Director of Learning
and Teaching.

  • Desktop publishing including student handbooks, formal event, drama and musical production and sports
day programs, Professional Learning and Principal's Academic Certificates.

  • In collaboration with Front Office colleagues, actively monitor and share responsibility for print room work
requests from faculties to ensure efficient and effective workflow is maintained.

  • Oversee and be actively involved in the maintenance of confidential records and files including the school
database.

  • Relieve for or assume the responsibilities of other Front Office staff in their absence.
Clerical and Administrative Support
Provide general administrative support related to academic operations to the following academic staff:

  • Director of Learning and Teaching including the oversight and set up PTIs and VPTIs.
  • SACE Coordinator (specifically in relation to Schools Online).

PERSON SPECIFICATION:
Essential Skills and Experience

  • Data entry and Database management (TES Edval, Synergetic experience would be an advantage).
  • Welldeveloped administration and organisational skills.
  • A proven complex problem solver.
  • Ability to be selfdirected and to work autonomously.
  • Highly skilled user of appropriate computer software especially in the areas of word processing, desktop
