Contexte:

Working in partnership with the NSW Government, the Parklife Metro consortium is working on an exciting new metro rail infrastructure project in Greater Western Sydney.


Comprising, Plenary, RATP Dev, Siemens and Webuild, the private sector partners are looking to build their metro rail expertise to deliver this city-shaping project, which will be delivered under a Public Private Partnership model and will provide a major economic stimulus for western Sydney.

RATP Dev as the O&M Contractor will be responsible for the successful delivery of the operations and maintenance elements of the project and we are currently looking to appoint an experienced Office Manager to work within the O&M Contractor team


Missions:


  • Office Management Administration
  • Responsible for daytoday office management and to make sure efficient office functioning.
  • Travel Management, organising meetings and conferences and associated logistics
  • Administration of purchase orders, invoices and HR administration.
  • Handling office communication. Effectively communicate. HR policies and practices. Circulate administrative information to employees.
  • Act as the main point of contact within the subsidiary for all administrative support and requirements; for example, setting up meetings, arranging documentation sign off etc.
  • Team events support and organisation
  • Create and update company templates as required
  • HR Administration
  • Conducts employee induction programmes which incorporates, corporate onboarding, regional and local onboarding presentations for all new starters in the subsidiary.
  • Leads all onboarding activities for new employees which includes the issuing of new employment visas, travel requirements etc, issuing line management toolkit for new starters and follows up onboarding checklists with employees and line managers.
  • Finance, Procurement and Governance Support
  • Support in the procurement and preparation of supplier contract and governance processes.
  • Support to the preparation of monthly invoices and communicating to third parties.
  • Schedule, process supplier and expense payments. Making sure proper documentation are attached before launching each payment.
  • Bid Adminitration and Support
  • Coordinating, formatting and assisting with tender submissions, ensuring the process is structured, on time and content is coherent and in line with tender requirements.
  • Administering documents through company intranet system (Sharepoint).
  • Lead the development of capability statements and case studies from active projects

  • Assisting project teams with documentation deliverable

Responsabilités et activités:


Ensure the overall smooth running of the day to day office operations of a Sydney based subsidiaries of RATP Dev.

A.

Provides administration support for all activities in relation to the commercial and financial department (invoice management) as well as support of bids as required required.


Expériences et compétences requises:


  • At least 3 years of experience in Office Administration
  • Knowledge of basic accounting
  • Autonomy, proactivity
  • Has the ability to "make things happen"
  • Resourceful and strong initiative quality.
  • Excellent oral and communication skills
  • Attention to detail and being flexible.
