Who are we looking for?


Queensland University of Technology (QUT) is seeking a School Executive Assistant to join School of Earth and Atmospheric Sciences, Faculty of Science, Academic Division.


The School Executive Assistant provides executive support to the Head of School, including high level administrative support, planning and advice which includes diary management, travel organisation and correspondence.

The School Executive Assistant also works collaboratively with the School Manager and key stakeholders to deliver exceptional service and support and is responsible for developing, refining and maintaining office administration processes and supporting the School with general administration and advice.

About the School
QUT's School of Earth and Atmospheric Sciences is one out of the 6 schools in the Faculty of Science.

The School has a multidisciplinary profile and is using expertise to investigate rock formation, the evolution of solid Earth, oceans and the atmosphere by using physics, chemistry, mathematics, geology and geospatial science to observe and understand how our planet transformed and how life evolved.

As researchers and educators its staff are motivated by the need to solve current global challenges, such as the state of the atmosphere, greenhouse gases, energy and resource sustainability, and life beyond our planet.

The School has a diverse team of experts who deliver world-class education and achieve breakthroughs in research with particular focus on:

  • Earth evolution
- natural resources
- climate, including atmospheric composition and change
- environmental challenges, including air quality, reef restoration and energy transition
- natural hazards, including landslides and volcanism
- planetary surfaces.

In the 2018 Excellence in Research for Australia evaluation, we received a ranking of 5 (well above world standard) for Geology and 4 (above world standard) for Atmospheric Sciences, giving the School an overall ranking in the Earth Sciences of 4 (above world standard).

We conduct our research using QUT's state-of
- the art instruments and facilities, including those based within the Central Analytical Research Facility.


What you need to succeed


To thrive in this role, you will be someone who enjoys taking the initiative to provide excellent service and support across a broad range of activities each day.


You will demonstrate:

  • Education, training or relevant experience equivalent to completion of an associate diploma with at least two (2) years' subsequent relevant experience or an equivalent combination of relevant experience and/or education training
  • High level interpersonal skills with the ability to provide confidential executive support with proven ability to collaborate and communicate with a wide range of internal and external stakeholders in a professional manner.
  • Demonstrated digital literacy skills including ability to effectively work with Microsoft suite of products as well as corporate systems and other information sources to extract and interpret data.
  • Demonstrated ability to use initiative to solve problems, manage priorities to meet deadlines, and work productively within a team to support a wide range of stakeholders internally, nationally and internationally.
  • High level ability to manage time and tasks effectively including prioritising work, meeting deadlines and balancing competing demands as well as the ability to embrace change and respond to unexpected challenges at short notice.
  • Demonstrated ability to work effectively in a team environment with limited supervision.
