Easy Authoring is looking for a value-driven and skilled Administrative Assistant to carry out all the administrative-related tasks.


Purpose of the role:


As an Administration Assistant, you will be providing comprehensive administrative and secretarial support and contributes to the efficient overall functioning of the office.

You will be required to perform a first-line customer service/reception role and demonstrate initiative and sound judgment in handling inquiries from internal and external customers.


KEY ACCOUNTABILITIES:


  • Screen telephone calls and answer queries or redirect callers to facilitate effective communication.
  • Review incoming and outgoing mail and correspondence, refer to relevant parties for appropriate action and maintain tracking of replies to ensure adherence to deadlines.
  • Maintain files and documents using the records management system to enable efficient retrieval of information.
  • Provide executive and administrative support to the Manager as required and ensure that all activities are carried out effectively and efficiently.
  • Coordinating work priorities to ensure the timely completion of matters requiring the Manager's consideration and approval.
  • Organise meetings, and workshops, including distributing material, setting up equipment, organising catering, and liaising with speakers and attendees when required.
  • Invoice handling and undertaking petty cash for the office; and coordinate stationary and stores supplies for the office.

Key Skills:


  • Demonstrated experience in providing a broad range of administrative and clerical related support services.
  • Sound communication (oral and written), interpersonal and excellent stakeholder skills.
  • Ability to undertake procurement activities including ordering goods and services, preparing invoices and payment of accounts.
  • Superior computer skills including the use of Microsoft Office suite.
