An exciting opportunity has arisen for an experienced Executive Assistant to join a large company based in Sydney CBD.
The successful applicant will primarily be responsible for providing high quality senior executive assistance and administrative support to one of the executive leadership team members.
Reporting to the Senior Leadership Team Member, your responsibilities include:- Being the first point of contact for all internal/external enquires
- Diary management
- Coordinating travel requirements
- Scheduling of visits for the Executive & liaising with the CEO assistant
- Scheduling & producing LIVE Calls
- Acknowledging Customer Complaints
- Processing invoices and credit card expenses in a timely manner
- Coordination of online staff communications
- Providing high level administration support as required including managing meeting requests, preparing materials for meetings, booking meeting rooms, facilities, equipment, catering and services
- Organising events and cascade communications to the team
- Compiling, managing and distributing various documents to the business
- Working closely with the other administrative teams to coordinate training, events, communication and other activities
- Assisting with adhoc special projects as requested.
About you:
Your experience in liaising with senior level executives, as well as having the ability to build rapport with various internal and external stakeholders will see you succeed in this role
As will:
- Having a minimum of 5 years' experience in an Executive Assistant role
- Being highly organised and able to effectively manage and prioritise multiple tasks
- Excellent computer skills including Microsoft Office, in particular Teams, PowerPoint, SharePoint and Excel
- Strong interpersonal, communication and negotiation skills
- Exceptional customer service
- Maintaining a high level of professionalism at all times
- Having a proactive, positive and flexible approach
- Ability to work autonomously and prioritise.
- Ability to work well within a team environment
- Highly motivated and able to take initiative
Please note:
The successful applicant must complete a Police Check & will be required to receive an annual flu vaccination between the months of April-October with supporting documentation prior to joining.
