Summary:

You will be working in this critical role as Receptionist with general admin duties.

Your positive mind, friendly and personable nature, and ability to manage relationships with internal and external stakeholders will be anticipated in this role, as well as your proactiveness, attention to detail and organisation skills.

Your ability to anticipate and prioritise tasks, action items and projects is highly valued. You are the sort of person who enjoys building relationships with all levels of staff.


Reception Duties:


  • Manage and monitor
    reception inbox daily
  • Ensure Reception area and meeting rooms are clean and tidy at all times and free of clutter
  • Meet and greet visitors to Bechtel
  • Answer incoming calls via Teams and manage as needed
  • Distribute Visitor brochures
  • Monitor meeting rooms calendars and book as required
  • Update and maintain Reception Bible
  • Update and maintain Facilities Perth Contact List
  • Ad hoc scanning, printing and laminating
  • Collect, sort and deliver incoming mail
  • Track all missing mail/couriers
  • Prepare all outgoing couriers (Donestic/International) ensuring all information is supplied and customs statements completed as required.
  • Update COVID tracking spreadsheet
  • Conduct Premises Inspections

First Aid

  • Daily check of AED machines (reception and kitchen), record and file.
  • Monthly check of AED machines (reception and kitchen), record and file.
  • Order supplies as required.

Maintain Kitchen & Stationary Supplies

  • Monitor Milk usage and update order as required.
  • Monitor crockery and cutlery supplies, order as required.
  • Monitor stationery cabinets weekly.
  • Place stationery order each fortnight/as required with supplier.
  • Distribute stationery order.
  • Track stationery usage.
  • Reconciliation of stationery account, check invoiced prices against contract monthly.

Toolbox

  • Write, prepare and distribute Toolbox topics/facilitators notes.
  • Update toolbox/facilitators presenters list.
  • Ensure toolbox added to Health and Safety Noticeboard and Brisbane M&M homepage.
  • Save sign in sheets (both offices).

New Starters

  • Nameplates.
  • Update
    BechtelWA-Perth and
    Bechtel-WAVisitors distribution lists.
  • Print Staff ID badges.

Security

  • Issue Staff Temporary and Visitor passes.
  • Daily audit of Staff Temporary and Visitor passes, report missing passes to Facilities Lead.
  • Allocate and distribute, door office, locker and drawer keys.
  • Key Inventory, Distribution, Record Keeping & Auditing.

General

  • Actively check whole of tenancy for any anomalies or issues requiring action.
  • Assist Facilities Coordinator/Lead on an as required basis.
  • Assist Admin Team on an as required basis.
  • Complete Expense Reports on an as required basis.
  • Additional tasks as assigned by Facilities Lead.

Key Qualifications & Previous Experience:


  • Experience in a customer facing role is highly regarded.
  • Strong verbal and written communication skills.
  • Reliable and strong team player attributes.
  • Strong knowledge/experience with the Microsoft Suite of programs.
  • Enthusiastic willing to learn nature.
  • Not just your typical sitatyourdesk reception role; this position will involve various forms of lowlevel physical activity, preparation, and experience in doing so, will be required.
