Who are u&u?The role:
The purpose of this role is to provide administrative and secretarial support to the Managing Director and Director of Operations in an efficient, personal and confidential manner.
Responsibilities include:
Diary management including arranging internal and external appointments, and any associated travel and accommodation required;
Coordinate the daily business of the Directors by regularly reviewing diary, meeting and travel demands;
Prepare board / meeting papers, including finalising meeting papers, preparing agendas, record and produce minutes of meetings, review supporting documentation, identifies and takes action on items arising from meetings;
Coordinate meetings, functions and workshops;
Liaising with external providers and suppliers, where necessary, for proactive organisational management;
Extensive report, business papers, correspondence and presentation preparation;
Responding to telephone enquiries - first point of contact;
Supervising junior administrative staff, if applicable;
Maintaining files / records for assigned areas;
Conducting research and sourcing information;
Manage the flow of incoming/outgoing correspondence for the Directors whilst also being required at times to assist with the whole-of-organisation correspondence coordination;
Contributing to the enhancement of administrative processes and procedures across the wider company;
Manage the office environment, including liaising with key contractors, managing stock / uniform levels, office supplies, etc;
Supervising facilities including, access card handling, and general office upkeep; and
Other general office management tasks and support as required.
What we are looking for:
Experience providing executive support and assistance at a senior management level;
Extensive Microsoft Suite Skills and Knowledge;
Demonstrated high level of skills in dealing competently and confidentially with personnel at all levels;
Ability to build and maintain relationships across the organisation;
Strong time management and organisational skills;
Ability to manage competing priorities;
Proven track record of working to and meeting deadlines;
Exceptional attention to detail;
Possess strong written and verbal skills;
Ability to compose and present correspondence of a non-specialist nature;
Prior experience in organising workshops and meetings; and
Capacity to work autonomously with mínimal direction / supervision as well as collaboratively in a team environment.
