Within this role where there will be no hand holding or micro-management once you are up and running and know what you are doing Reporting to a brilliant Facilities Manager, this is a challenging and exciting role where you will look after a property that is mainly residential with some commercial including a car park.


This is a varied role where not only will you be on the ground in the building liaising with contractors and ensuring everything is running smoothly, but you will also perform associated administrative tasks and utilise facilities management software within your role.

Daily duties include but are not limited to:

  • Report directly to a fantastic Facilities Manager (FM) and assist with management of the building
  • Be the first point of contact for general phone enquiry, office attendees and day to day office activities
  • Coordinate & manage day to day maintenance tasks for common areas as directed by FM
  • Assist FM with various matters including contractor supervision, follow up and review of quotes, special projects and reporting
  • Use FM software and induction systems for monitoring and management
  • Ensure all contractors attending site are WHS compliant and inducted
  • Coordinate provision of security access cards and keys to attending contractors and record into FM systems
  • Daily monitor and maintain Facilities Management software including scheduled maintenance calendar, service report obtainment & upload to FM Software, case management & digital document filing to server storage
  • Be responsible for all hardcopy fire compliance documentation
  • Show onsite diligence in identifying items of concern to be logged for case management
  • Daily Monitor the building management systems and report any findings to the FM
  • Conduct regular site inspections on a daily, weekly, and monthly basis
  • Assist FM to achieve full building and WHS compliance for the company and clients
  • Promote a positive outlook when dealing with clients, stakeholder's, building residents, trades and services
  • Direct all requests for technical assistance to FM staff member and be guided by FM for any response needed
  • Be available for after hour phone calls for remote management and coordination of onsite emergency events as needed
  • Attend site for direct coordination of emergency works when required
  • Fulfill other duties as required by facilities management staff and other department personnel

You will be absolutely PERFECT for this role if you have:
  • Previous experience in Property Management or Facilities Management (residential) ideal however open to similar background such as building management, strata management, etc
  • You must be IT savvy as you will utilise various systems throughout your day
  • Strong written and confident communication skills
  • Excellent problemsolving ability
  • Passionate and driven individual who would also describe yourself as a honest, loyal, reliable and a positive team player
  • Outstanding communication skills
  • Qualifications in Facilities, Property or Trade related field would be advantageous or desire to further your knowledge in these areas
  • Must have current Drivers Licence
