Tennis Australia (TA) is one of the largest sport's governing body, entertainment and sports rights-holder, and media production houses in Asia-Pacific.

The Australian Open will be back in full swing this summer and we're looking for an Event Operations Coordinator - Contract Administration to join our team on a fixed term contract from October 2023 until February 2024.

As this is a seasonal contract, we request full availability and flexibility across the summer months of December-February.

About the role

Reporting to the Premium Experience - Food & Events Manager, in this role you will;

  • Preparation of scope of works for trades and consultants in line with project specifications
  • Obtaining fee proposals from subcontractors, suppliers and consultants, negotiation, and cost monitoring
  • Procurement including the administration of contracts and purchase orders
  • Administrative assessment of invoices and preparation of payment schedules/ subcontractor progress claims where necessary
  • Collating and maintaining currency of Insurances, SWMS, MSDS and essential records from suppliers, consultants, and subcontractors,
  • Documentation control in line with organisational processes and procedures
  • Supplier management to ensure needs, requests and processes are managed and delivered successfully. Including but not limited to coordinating accreditation, vehicle access, deliveries, site access, and equipment
  • Develop and coordinate onsite operational logistics and manage the production schedule for all suppliers for bumpin and bumpout periods, including safety and access requirements
About you

  • What you will bring to the role:_
  • Knowledge and understanding of operational procedures in the areas of OHS, logistics, production and theming
  • Reading and interpreting build drawings
  • Demonstrated ability to work with budgets and project timelines with high accuracy
  • Ability to produce high quality presentation of spreadsheets and schedules
  • Exceptional organisational skills with the ability to meet deadlines whilst achieving quality outcomes
  • Ability to multitask and work effectively under pressure
  • Strong administrative skills with high attention to detail
  • Sound knowledge of the Australian Open tournament is highly desirable
  • You must hold (or be willing to obtain) a current Police Check and Working with Children Check
