The Role
Reporting to the Head of People Operations and Talent, you will manage a team of 3 Shared Services Coordinators. This is a Hybrid role with 3 days WFH and 2 days in our Head Office based in Leichhardt.

You will provide structure and guidance to a team of Shared Services Coordinators who are providing good quality and accurate administrative support to the business.

Through utilising the Human Capital Management system (Ceridian Dayforce) you will have ownership over master data accuracy and the day-to-day execution of operational tasks.

The Shared Services team will be the custodians of the process/functionality of the system including the modules of onboarding and workforce management ensuring access is in line with roles and responsibilities and corporate governance is maintained.

About You

  • Qualified in HR or Business or related field
  • Previous experience within a People & Culture function in an administrative capacity preferred
  • Demonstrated strong administrative and customer facing experience
  • Previous experience utilising and administering HRIS system/s
  • Previous experience with Ceridian Dayforce and Service Now is advantageous but not essential
Key Responsibilities

  • Provide direction to team members to ensure that all customer inquiries are rightfully attended to on time and in line with standard operating procedures
  • Assist fellow team members to balance workload and assist where possible
  • Organising the work of Shared Services team members and communicating with them their goals
  • Observe performance of team members to identify their strengths and weaknesses and make arrangements to support their improvement.
  • Provide assistance to team members experiencing difficulties in the discharge of their duties by providing regular feedback and coaching
  • Create and implement work procedures that will enhance the departmental service delivery, operating procedures and standards
  • Support the Head of People Operations and Talent in the development and roll out of key strategic objectives
  • Ensure correct set up and maintenance of master data changes or new documentation with high level of confidentiality.
  • Support in the creation and maintenance of reporting dashboards and team metrics
  • Provide advice and support to the business regarding HRIS processes and procedures
  • Ensure all enquiries are addressed in a timely manner
  • Develop strong knowledge of relevant Awards and legislations
  • Maintain employee documentation and maintain employee personnel files
  • Maintain accurate and up to date trackers and compliance registers
  • Ensure all documentation complies with P&C Policies and revising with Hiring Management where necessary
  • Assist managers to understand contract generation process
  • Work with Ceridian Dayforce on troubleshooting and system limitations
  • Roll out training initiatives across the business on HRIS system and operational efficiencies
  • Receive and act upon formal requests for information (e.g. from insurance companies, Centrelink, banks)
