About This Role


Reporting into the EA & Coordinator Team Lead, you will represent and manage office operations, work health & safety and support the efficient and timely use of Biogen systems in support of activities and procedures.

You will coordinate team activities, have control and supervision of filing and access to documents in collaboration with the various departmental leads.

In addition, you will be the super user for the whole Biogen ANZ affiliate for Office Management, Work Health & Safety.


Please note, this role will require you to be based in our Macquarie Park office 4 days pe week with the ability to work from home 1 day.


What You'll Do

Office Management

  • Implement and maintain all office related procedures such as office closures
  • Manage office groceries/kitchen supplies
  • Attend to daytoday queries from employees regarding office administration and procedures such as mail, courier management, preferred vendors for printing
  • Liaise with the Building Manager regarding building access, carpark access, and office security requirements

Work Health & Safety (WHS)

  • Provide expertise and act as main point of contact for all WHS related matters
  • Undertake and coordinate building safety requirements including fire warden and evacuation procedures
  • Chair WHS committee meetings & ensure compliance to state code

Business Continuity (BCP)

  • Provide expertise and act as main point of contact for all BCP related matters
  • Develop and maintain Biogen ANZ's business continuity plan

Sustainability and Wellness

  • Drive improvements in sustainability for Biogen ANZ (e.g. promote recycling, negotiate more environmentally sustainable facilities, lead HCHL initiatives where appropriate, etc.)
  • Manage sustainability and wellness initiatives such as 'healthy climate' and 'healthy lives'

Travel Coordination

  • Maintain ongoing contracts with incumbent travel brokers, ensuring service level agreements are met
  • Where contracts are ending, liaise and negotiate with travel brokers to ensure the best value service is provided to the Biogen ANZ affiliate

Onboarding /offboarding

  • Under direction from HR, coordinate onboarding and offboarding of employees

Qualifications:


Who You Are


You will have excellent written and verbal communciation skills and the ability to build relationships across all levels of the organisation.

You will have well developed problem solving and decision making skills and be able to resolve issues quickly and tactfully.

You will describe yourself as someone who's self-motivated with an ability to manage competing priorities whilst being flexible, ensuring completion of tasks based on business priorities.


Required Skills:


  • TAFE diploma or University degree in business, administration, HR, Communications, or related field
  • Three or more years work experience, preferably with corporate experience
