- Reception function for the Manager – Building Services
- Responding to incoming calls promptly where possible or refer appropriately.
- Support the Building Services Team to ensure the maintenance of high standards of customer service to internal/ external customers and clients. Effectively coordinate the administrative workflows in Building Services to achieved deadlines and meet customer expectations including,
- Incoming and outgoing correspondence tracking, including overdue correspondence.
- Arrange meetings/ appointments/ events developing agendas, minute taking and provision of required resources. Including catering where appropriate
- Develop purchase orders and invoice matching within Council's financial system, to ensure prompt payment for goods and services.
- Web edit for the Building Services Intranet and Internet pages as required. Skills & Experience
- Provide efficient and effective secretarial and administrative support to facilitate a high standard of customer service for the Building Services Manager and Team.
- Effectively coordinate the administrative workflows in Building Services to achieve deadlines and meet customer expectations.
- Certificate IV in Office Administration/Secretarial Studies or equivalent
- Demonstrated experience providing administrative support to senior management or a section/unit/team.
- Demonstrated ability in project/event coordination
- Class C Driver's Licence
