Description:


The primary role is to support the Children's Services Manager by performing a variety of Administrative, clerical and office duties.

This role is responsible for office activities which includes handling incoming calls and working face to face with families.

It is expected that you balance multiple tasks simultaneously, while providing a high level of service.


Critical to this role are exceptional interpersonal, communication and time management skills, along with good knowledge of Microsoft office packages and the flexibility to support the team.


Responsibilities include:

Maintain a professional presence and rapport at all times in interactions by phone or in person with management, staff, families and community

Respond to enquiries from public, clients, other organisations, and suppliers appropriately and in a timely manner.

Develop systems, implement, and maintain service files & documentation.


Ensure up to date documents relating to:

  • Service Compliance
Policies and procedures
Client enrolment Information
Staff meetings
WH&S files


Provide general administration duties which include: Direct customer service to all stakeholders, answering phone calls, take and relay messages/queries to the most appropriate staff member, stock ordering, word processing, database entry and finance tasks.

Data entry of confidential information into relevant data bases and information management systems as per funding requirements and the organisation's privacy and confidentiality guidelines

Managing office supplies stock and placing orders.

Organise and pack enrolment packages.

Contact clients to inform them of any service changes.

Ensure all information is up to date in reception area

Attend staff meetings, organisational planning meetings, management meeting and or other meetings as required and directed by Manager.

Maintain a work environment that limits risk and prevents work, health and safety incidents.

Prepare minutes and agendas as required.

Assisting with administration documentation that is needed to comply with the required Government Legislation

Assist in maintaining enrolment information, developmental records, attendance records, incident reports and financial information for children who attend the centre, under the direction of the Service Manager


Take responsibility for the implementation of the WHS policies and procedures, risk management procedures and all relevant legislation that impacts upon CORE Community Services Pre-school.

Maintain detailed records for each child to be used as a basis for individual and group assessments

Skills and Experiences:


Selection Criteria:

Certificate 4 or Diploma in Business Administration or other relevant qualification

  • Excellent organisational skills, ability to meet deadlines with mínimal supervision and prioritise work commitments.
  • Demonstrated ability working with and developing good relationships with the children and families
  • Highly developed verbal and written communication skills and excellent interpersonal skills.
  • Ability to multi‐task and work in a well organised manner, both independently and as part of a team.
  • Demonstrated experience in Microsoft Office and database systems.
  • Ability to maintain high levels of privacy and confidentiality regarding clients, staff, and organisational matters.
