Medical Secretary / Receptionist - Icon Cancer Centre, Southport, Gold Coast QLD

  • Mixed Role: Medical Secretary & Receptionist (Main Reception & Day Hospital). Join our existing admin team in a role that assists across various departments.

Our centre in Southport led by a team of highly experienced cancer specialists who provide a comprehensive range of medical oncology services and treatment for blood disorders.

We have a 24-chair day hospital on-site as well as the provision of consulting rooms for our various Oncologists, Haematologists and other specialists.

About the Role:

***We have new part-time opportunity for a Medical Administrator to join our team in a role with split duties, sometimes working within our Practice Management department (Secretarial) supporting our Oncology specialists, other times on main reception, and also within our Day Hospital (Reception & Admissions) supporting the patient support and administration function.


This role reports to our Administration Manager and operates in a permanent part-time manner (working 38 hours per fortnight) at our Icon Cancer Centre Southport.


Key Responsibilities:


  • Main Reception & Day Hospital_
  • Main Reception meet and greet tasks
  • Welcoming patients, collecting and entering personal details and managing waiting room
  • Process patient admission, check private healthcare, process billing
  • Schedule further appointments
  • Answering telephone calls and responding to enquiries
  • Monitoring and assessing the administration care path of all patients
  • Maintaining and managing patient information
  • Supporting Icon's WHS Officers and committees to effectively carry out their responsibilities
  • Modelling and promoting Icon's vision and values.
  • Practice / Secretarial_
  • Setting up consulting rooms, prepare paperwork for appointments
  • Manage incoming/outgoing mail
  • Diary management/scheduling
  • Organise theatre/hospital bookings and allied health referrals
  • Patient billing and debtor management

About the person we're going to hire:
We are looking for an experienced Medical Administrator with outstanding customer service to join our team. We are looking for someone who is proactive, personable and enthusiastic about the role. If this sounds like you, we'd love to hear from you.


Skills & Experience:


  • Experience in a similar role in Day Oncology/Haematology desirable but not necessary
  • Medical Secretary experience within specialist setting also desirable.
  • Experience with Medicare, DVA and Private Health Insurance.
  • Excellent organisational and time management skills.
  • Ability to communicate with clarity both verbally (facetoface and telephone) and written.
  • Ability to use computer systems competence required in Word and Excel.
  • Delivery of excellent client service (to internal and/or external clients)
  • Possessing basic knowledge of medical terminology
