Administration Manager - Icon Cancer Centres Richmond & East Melbourne

  • Oversee the administration function at our shared radiation oncology centres in Epworth Richmond & Epworth Freemasons_
  • Lead a team of medical administrators at our wellestablished cancer treatment centres as we strive to make a meaningful difference in our patients lives.
  • Opportunity to manage the administrative function of two centres in a shared staffing/team setup
  • Work closely with Site Manager, Nurse Managers and Radiation Therapist leaders to complete our management team
  • Weekdays only (
Normal Operating Hours: 8am to 5pm Monday to Friday)

About the Role:

We are seeking an Administration Manager to join our innovative and dynamic team.

Based primarily on-site at the Icon Cancer Centre Richmond (within Epworth Centre) this role reports to the Site Manager and is responsible for leading our administration team at both Epworth-based sites.

This role will operate in a full-time capacity, working 76 hours per fortnigh, Monday to Friday.

Key Responsibilities

  • Leadership_
  • Lead Administration/Practice Management team members at Site and ensure a safe, supportive and productive work environment
  • Onboarding, training, rostering and management of administration staff
  • Complete comprehensive team assessments to identify gaps in skills required to achieve business outcomes and ensure staff training is completed.
  • Implement effective rosters to manage workloads and meet the needs of the Site
  • Address performance and manage issues relating to team members as they arise
  • Conduct monthly team meetings
  • Participate as an active and positive member of the Site Leadership team and maintain a collaborative relationship with all team members at the Site

  • Ensure a timely and efficient patient admission, discharge and outpatient appointment process
  • Oversee patient billing function and manage outstanding debtors
  • Maximise utilisation of the Site consultation rooms
  • Establish and review workflow processes, functionality of workstations to support optimal efficiency
  • Ensure relevant patient outpatient documents are signed and billing processed accordingly
  • Act as 'First Line' IT (Dictaphones, telephones, TOTALCARE etc.) troubleshooting
  • Ensure regular meetings are held with onsite VMOs who consider practice at the site, as their primary practice and ensure open and transparent communication with practice operations
  • Conduct biannual meetings to review VMO's satisfaction with service levels

  • Experience supervising and leading teams in a health environment
  • Experience and knowledge of the private health fund claiming process
  • Demonstrated commitment to customer service and successful development of long term relationships with external and internal customers
  • Advanced knowledge of all patient billings i.e. Medicare, DVA and private patients (desirable)
  • Knowledge of legislative requirements in a health care setting (desirable)
  • Qualification or training in management and leading teams (desirable)
