The Admin Associate offers administrative support for company functions in Australia. This part time role involves working 3 days a week, collaborating with another Admin Associate on the same schedule.
The role ensures effective maintenance of departmental processes, procedures, and programs, involving interactions with internal colleagues, healthcare professionals, and vendor agencies. It requires flexibility, multitasking ability, and attention to detail while working efficiently.
Collaboration with the partner Admin Associate is vital for the successful execution of this part-time role.
KEY RESPONSIBILITIES:
- Provide comprehensive support for company functions, coordinating day-to-day activities to drive project and task completion.
- Manage processes for engaging with external parties (vendors and healthcare professionals), including contract preparation, vendor setup, service agreement preparation, purchase order requisition, and 'after event' reconciliation across various software systems.
- Coordinate calendars, schedule meetings, and administer key regular meetings for company functions.
- Handle purchasing processes for agreements with vendors, track fees and invoices, and ensure proper closure of POs monthly.
- Administer sponsorships, navigating internal approval processes, executing contracts with external stakeholders, and reporting value exchanges internally and externally.
QUALIFICATIONS:
Minimum Qualifications:
- Higher school certificate and secretarial/administrative experience.
- Outstanding organizational skills, problem-solving abilities, and proficiency in MS Office.
- Comfortable in a fast-paced environment, with excellent interpersonal and communication skills.
- Demonstrated integrity, initiative, and a proactive approach to tasks.
- Curiosity and eagerness to learn new things.
Preferred Qualifications:
- Experience in coordinating meeting logistics and supporting pharmaceutical marketing processes.
- Proficiency with software like SharePoint, Concur, Oracle, and Veeva PromoMATS.
