At Introspect Psychology Group, we pride ourselves on delivering premium care, with a dedicated team of psychologists and efficient administrative staff.

We are a psychology practice with about 15 psychologists servicing Geelong and the surrounding area. We're looking for a friendly, proactive, and teachable Receptionist to complement our team.

Reports To:
Office Manager, Introspect Psychology Group Directors

Status:
Part Time


Pay:
$25-27 Hourly


Purpose

Provide practice reception and clerical duties that enhance client experience, help run the practice efficiently and support psychologists in their work.

Complete and reconcile practice communications, appointments, services, and financial records.


Key Responsibilities Include
- warmly welcoming and communicating effectively with clients; ensuring professional and inviting atmosphere for all clients and visitors
- upholding client confidentiality and privacy standards
- coordinating schedules across multiple psychologists; handling appointment scheduling, inquiries, referrals, and documentation
- invoicing, taking payments via EFPOS, processing Medicare rebates, managing payment information in PowerDiary
- effective communication with GPs/medical practices, third party payers, and other agencies
- assisting Office Manager in daily administrative tasks
- general cleaning and housekeeping

Selection Criteria

Necessary:

  • Proficiency in PC operations, MS Office (Word and Outlook in particular), PDF handling
  • Excellent customer service skills with a skill in problemsolving and client interactions
  • Exceptional communication skills, both verbal and written
  • Outstanding organizational abilities with multitasking capabilities
  • Adaptability and a proactive learning attitude
  • Attention to detail and a solid work ethic
  • Skilled at working both on a team and independently
  • Genuine interest in longterm progression in psychology or allied health
  • Warm attitude to foster a welcoming environment and positive relationships with diverse individuals
  • Interested in seeking out opportunities to improve own work and ask for help when needed
  • HSC or equivalent
  • Working With Children (WWC) Check

Preferred:

  • Experience in medical/allied health reception
  • Experience working with diverse individuals
  • Familiarity with NDIS and Medicare
  • Familiarity with Xero and bookkeeping
  • Certificate IV in relevant area (customer service, reception, bookkeeping)
