About the role:


This role supports the Director, Legal Practice Division as the Executive Support/Project Officer in the Legal Services Department, Victoria Police.

The charter of the Legal Services Department is to provide comprehensive legal expertise, in support of Victoria Police's operational and business activities, incorporating model litigant principles.

The Legal Practice Division oversees various legal operations, including Counter Terrorism Legal, Royal Commissions and Inquiries and other Civil Law functions.

The primary objective of the role is to perform a range of high-level business, secretariat and administrative duties, as well as supporting the work of the Director, Legal Practice Division and Legal Practice Division

This requires an experienced, professional and motivated person to provide executive and administrative support to the Director, in a confidential and sensitive environment.

Your duties will include:

Providing high-level administrative and secretariat support to the Director, Legal Practice Division including:

  • Governance and accurate, orderly maintenance of hard copy and electronic legal and administrative files;
  • Preparation, drafting and collation of correspondence and documents accurately and efficiently;
  • Supporting Victoria Police's governance processes through the provision of effective and efficient secretariat services including diary management, developing agendas, collating papers, preparing minutes and follow through of action items;
  • Developing and improving systems and processes that support the Director and organisation governance;
  • Providing project and legal support for initiatives that improve executive services and governance;
  • Improving quality control of committee documentation and coordination of committee meetings;
  • Occasional miscellaneous procurement projects;
  • Monitoring the calendar and meetings of the Director ensuring confidentiality;
  • Monitoring and oversight of court cost invoices and legal fees, alerting the fee earners to any issues or constraints that surface;
  • Consulting with internal and external stakeholders, clients, counsel, and solicitors on behalf of the Director;
  • Undertaking various file searches not limited to court matters and including corporate and operational files within Victoria Police;
  • Maintenance of Victoria Police vehicle assigned to Director;
  • Assisting the Staff Officer of the Executive Director with any administrative, financial or legal requirements as directed;
  • Providing training and guidance to Legal Support Officers as required;
  • Any other administrative or business requirement as instructed by the Director.

As the successful applicant, you will have:

  • Demonstrated administrative and business skills;
  • Excellent written and verbal communication skills with a range of stakeholders
  • Ability to negotiate, as well as work flexibly and collaboratively, often in a highpressure environment

Requirements and relevant information:


  • One (1) x fulltime, ongoing position available.
  • This position is located at Victoria Police Centre, 311 Spencer Street, Docklands.
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • The successful applicant will be required to undergo preemployment checks which may include fingerprint checks and misconduct screening.
  • As a member of the Legal Services Department you will be located, on selection, at a specific office within a Division for a particular advertised opportunity. However, given occasional legal service demand issues you may be required at times to undertake varied work within the Department.
