Sydney Ultrasound for Women (SUFW) is a renowned diagnostic ultrasound medical practice, devoted to meeting the needs of women at various stages of their lives.

Our doctors are specialist Obstetricians and Gynaecologists (O&G) who have further specialised in ultrasound, high-risk obstetrics and reproductive genetics.

You'll be joining a team of multidisciplinary specialists who collaborate to improve the experience and outcomes for patients with care and compassion.


A role with unique responsibilities
Receptionist/ Administration officers have a very important role at Sydney Ultrasound for Women. You will be the first person patients meet when they engage with our clinic. With exceptional service, underpinned by compassion and attention to detail, you will directly enhance the patient experience.

Working primarily with the bookings team, you will also centrally receive, manage and action phone/online bookings and patient referrals for all SUFW clinics.

You will also provide front desk and administration support to the Northern Beaches clinic.

Under guidance from your Clinic Coordinator, your responsibilities include:


  • Manage and action both internal and external calls and online bookings
  • Deliver exceptional care and support to patients and external stakeholders
  • Meet quality standards, and timelines, whilst delivering excellent customer service
  • Provide clear and unambiguous information to patients
  • Liaise with external GP's, specialists and their staff
  • Maintain patient records and confidentiality at all time
  • Accurate data entry into the patient management system
  • Providing general administrative support to the team
  • Patient billing, receipting, Medicare and end of day banking reconciliation
  • Collecting consent forms and updating and maintaining accurate patient records


Our receptionist/ administration officers will be sensitive to the needs of patients and will support their wellbeing through timely and considered communication.


Ideally you will bring the following:

  • A track record of delivering caring and compassionate customer service
  • Exceptional interpersonal skills and welldeveloped communication skills
  • Knowledge of medical health and an understanding of clinical and gynaecological services
  • Excellent telephone manner
  • Strong attention to detail
  • Ability to work cohesively within a multidisciplinary team
  • Experience working in a call centre or customer contact centre environment
  • Previous experience with Medicare, medical billing and receipting (advantageous)
  • Exceptional computer and IT skills, Microsoft Office Suite essential
  • A willingness to embrace the Monash IVF Group principles
