About the Role

As Administrative Officer and Receptionist, you will be responsible for the provision of high quality, professional and efficient reception and general administrative services to clients and staff of Counselling and Psychological Services (CAPS) and the University community.

You will be the first point of contact for clients and will maintain the counselling online scheduling and booking system.


You will provide general administrative support to the Service for its workshop, training and other programs and assist with the maintenance of online and web-based training course descriptions and registrations.


Your responsibilities will include:

  • Providing a friendly and prompt welcome to clients and responding to their needs by making appointments, providing information, or referring them outside of CAPS
  • Maintaining the reception and waiting areas and undertaking reception administrative duties
  • Assisting with general administrative support in training, workshop and consultancy activities

Who we are looking for

We are looking for someone with exceptional interpersonal skills including strong written and oral communication and the ability to respond sensitively to people in distress.

You are enthusiastic, energetic and self-motivated, and maintain a flexible and adaptable attitude in a diverse work environment. You work to deadlines, prioritise well under pressure, and demonstrate concern for work quality and standards.


You will also have:

  • A diploma qualification with relevant experience or an equivalent combination of relevant experience and/or education training within the tertiary/health care sectors
  • Demonstrated computer skills, including advanced usage of MS Office and database programs
  • Ability to work within a team structure, and share specific tasks

Your new team - Student and Scholarly Services
Student and Scholarly Services provides student administration and services from recruitment and point of enquiry to graduation. This team also delivers wellbeing and scholarly services to students and staff.


Counselling and Psychological Services (CAPS) is part of the Wellbeing suite of services in Student Success, Student and Scholarly Services.

CAPS provides free psychological counselling to students and staff and delivers a range of training and consultancy activities.

The service is led by a Manager, with three Senior Counsellors, overseeing the day-to-day operation of the service and comprises around 30 people including Counsellors, Locum/Psychology Registrar Counsellors, Intern Counsellors, and reception/administration staff.
